Administration Assistant (Field Service) Firelec is currently seeking a passionate and enthusiastic Administration Assistant to join our dynamic and growing business. This is a Full-time role, based in Rockhampton, with an opportunity to work flexible hours for the right candidate. In this fast-paced role, your versatility, high level of initiative, professionalism, and ability to build effective relationships throughout the Company is highly valued. Being a key support member of a high-performing Administration team, you will play an integral role in supporting Firelec’s maintenance, electrical, and mining teams. The successful candidate must have the ability to multi-task and provide office support to the Senior Management Team. Experience in Field Service Administration is advantageous but not essential. The primary functions of this position will include, but not be limited to: Ensuring a smooth and adequate flow of information within the Company to facilitate effective business operations. Be the main point of contact for all Technician calls/enquiries. Provide general customer service, including answering and responding to phone/email enquiries, resolving and/or forwarding to the appropriate Manager/Supervisor. On request, monitor and order supplies necessary for various projects. Maintain accurate records and databases related to all Company operations. Accurate and timely data entry, and database maintenance. Assist with scheduling processes – accurate data entry. Provide general office administration support, as requested, including data entry, filing, and document management. Maintaining compliance, booking, and data entry into Firelec’s Business Management Systems, operational registers (Training & inductions, vehicles). Vehicle Management – book services, as requested. Under direction, assist with onboarding inductions to mine sites & other businesses. Timesheet processing – printing/data entry of weekly timesheets, leave forms, reimbursements, etc. follow up and report any discrepancies by the required deadline. Prepare various reports and documentation, as required by Management. To be successful in this role, you will possess the following: Strong attention to detail and accuracy, with the ability to prioritise workloads effectively. Have a ‘Can Do’ attitude to safety and align with Firelec and our Client's company values. Be reliable and punctual. Flexibility and ability to manage high-volume workload and meet deadlines. Proficient in using Microsoft Office Suite (Word, Excel, Outlook). Highly motivated, proactive, and able to work independently, as well as in a team. Exceptional communication skills, both written and verbal. Excellent organisational and time management skills. 2-3 years in a similar role (mining/commercial industries) desirable but not essential.
