Innovative and progressive national law firm seeks an experienced Office Services/Facilities Supervisor with professional services or law firm experience.The role You will be working as a Facilities & Office Services Supervisor of a national law firm. You will provide effective leadership and management across the office's operational services functions including reception, catering, facilities, deeds and archiving. You will report to the Chief Operations Officer. Please note that this is an 18-month parental leave contract.Your duties will include the following: Work with colleagues in similar roles to achieve standardisation of and align policies, procedures, processes and work practices. Review and negotiate contracts with local office vendors and suppliers (where required). Manage relationships with the landlord and building management as well as all local office vendors and suppliers, and drive performance management as required. Lead effective management of the deeds and archiving functions, including the annual file/records destruction program. Manage regular service maintenance for the local office premises, infrastructure and services. Project management of local office enhancements including scoping, design, refurbishment, construction and/or relocation of offices as needed. Act as point of escalation for issues and complaints relating to operations, facilities, deeds and archiving, reception and catering, and OH&S. Maintain all appropriate risk management and controls, including systems and processes. Ensure timely resolution of office maintenance requests and repairs, and requests for workstation or office moves. Lead and manage the Brisbane office Facilities Team (incorporating the Records Management/Safe Custody staff) and ensure seamless teamwork and delivery across the office. Proactively work with practice groups and teams across the office to ensure archiving and document storage are optimally managed. Lead and manage the reception and catering team and ensure seamless teamwork and delivery of services across the local office. Ensure that the front of house team works collaboratively with the Brand, Clients and Markets team as well as with local office committees (e.g. Social and Wellbeing committees) to ensure effective delivery of events and functions across the office. Provide location-specific input into the annual operations budget. Ensure timely and accurate invoice management. Monitor and review local office spend against the approved budget, taking corrective action where required. Maintain a safe and healthy work environment by developing, updating and implementing health and safety standards and practices, and complying with regulations. Coordinate and manage a team of volunteer fire wardens and first aid officers across the local office. Comply with the firm's emergency procedures and response protocols, and, as necessary, work with peers in similar roles in other offices to update these to reflect changes in the legislative framework and on-the-ground requirements. Work closely with the Chief Operating Officer on the Brisbane office relocation project. Provide coaching to all team members in order to optimise service delivery and performance. Assist with the firm's responses to client audits and third-party assessment questionnaires as required, including the implementation of recommendations and reasonable improvements as required. Proactively manage the firm's environmental footprint and identify processes and supply chains in the local office to achieve the firm's NetZero accreditation. Your experience You will be required to have at least 5 years Office Services/Facilities Supervisory experience within a law firm or professional services environment.The Law Firm/ Salary/ Benefits National law firm of 200 staff, supportive environment.
