We are seeking an energetic, highly organised, and proactive Operational Support Officer to support our Executive Principal, School Leadership Teams, and campuses across the network as The BUSY Schools expand into the Southeastern states. This is a diverse and rewarding role where no two days are the same. From executive support and project coordination to recruitment, administration, training, communications, and marketing support, you'll play a critical role in keeping our schools operating at their best. About the Role Reporting to the Executive Principal, the Operational Support Officer provides critical operational and executive support across The BUSY Schools network. This role works closely with school leaders and campus teams to ensure seamless operations, effective communication, successful project delivery, and high-quality administrative support. The role involves: Executive & Leadership Support Provide proactive support to the Executive Principal and School Leadership Teams. Coordinate meetings, prepare correspondence, organise resources, and manage schedules and calendars. Assist with administrative and project-related activities across the network. Project Coordination Coordinate and monitor key projects and initiatives. Track actions, deadlines, and outcomes to ensure successful delivery. Support planning processes and continuous improvement initiatives. Administration & Communication Manage incoming phone enquiries and administration email inboxes. Ensure enquiries are responded to promptly and professionally. Act as a key liaison between campuses and various BUSY Group departments. Campus Support Provide training and ongoing support to Campus Administration Officers. Develop procedures, guides, and training resources to promote consistency and best practice. Provide on-site support across campuses when required. Stakeholder Engagement Build productive relationships with internal and external stakeholders. Partner closely with HR, IT, Marketing, Business Support, and other BUSY Group teams. Marketing & Systems Support Assist with marketing campaigns, events, promotional materials, and website updates. About You You are a highly organised professional who enjoys juggling multiple priorities while maintaining exceptional attention to detail. You are confident working with senior leaders, naturally collaborative, and passionate about delivering outstanding support. To be successful, you will have: Minimum 2-3 years' experience in a similar executive support, operational support, administration, or coordination role. Strong project coordination and organisational skills. Excellent written and verbal communication abilities. Demonstrated problem-solving and analytical capability. Experience maintaining confidential information with professionalism and integrity. Experience using corporate information management systems and Microsoft 365 applications, including SharePoint. Ability to work autonomously while also contributing effectively within a team environment. Strong stakeholder management skills and the ability to build positive working relationships across multiple locations. Essential Requirements Qualification in a relevant discipline. Current Working with Vulnerable People Clearance (or ability to obtain). National Police Check (or ability to obtain). Current Driver's Licence and willingness to travel between campuses as required. In this role, you will be working for The BUSY Group, situated in Joint Transition Authority Transition Centres, working alongside Australian Public Servants and Military Personnel as one team. Your objective is to support the Transition Support Officers with the administrative functions of the centre. You are also able to answer member enquiries and are well organised and professional. The Joint Transition Authority supports members who are either considering transition, or are transitioning, to be prepared, connected to the supports they need and continue to support them post their separation from Defence. You will be an experienced administration professional, have the ability to meet performance targets, demonstrate empathy and professionalism and have excellent people and technical skills. About the Role BUSY At Work is seeking a highly organised and detail-focused Administration Assistant to support our Transition to Work program. This role is ideal for someone who enjoys structured administrative work, has strong attention to detail and wants to contribute to a program that supports young people to overcome barriers and take their next step into education, training or employment. As the Administration Assistant, you will provide practical operational support across participant-related expenditure and administrative processing. You will help centralise expenditure activity, prepare and track purchase orders, check evidence, support acquittals and maintain accurate expenditure records by site and participant cohort. Your work will help improve expense control, strengthen administrative compliance and reduce pressure on frontline and regional leadership teams. What You'll Be Doing Processing participant-related expenditure requests accurately and efficiently. Raising, tracking and following up purchase orders. Checking evidence, receipts, invoices and approvals to support compliant expenditure. Assisting with acquittal requirements and maintaining audit-ready records. Tracking expenditure by site, cohort and category to support operational oversight. Following up missing information and escalating delays or compliance risks to the operational team. Providing administrative support that enables frontline teams to focus on participant engagement and outcomes. This role is full time, fixed term until 30 June 2027 with the possibility of extension, working from home with the expectation to attend our Upper Mt Gravatt office on a Monday for meetings. About You You are organised, accurate and confident working with administrative processes, records and systems. You enjoy keeping things on track, following up details and supporting teams to work efficiently. You may have experience in administration, finance administration, purchasing, claims processing, employment services or another busy operational support environment. Previous experience in an administration or operational support role. Strong attention to detail and confidence checking documentation for accuracy and completeness. Experience using spreadsheets, Microsoft Office and administrative systems. Ability to manage competing priorities and meet deadlines. Clear communication skills and a proactive approach to following up information. Understanding of employment services, government-funded programs or purchasing processes will be highly regarded.
