Job Description We’re seeking a detail-oriented and proactive Admin Assistant / Project Management Support specialist to join our fast-paced construction team. In this pivotal role, you’ll be the backbone of our operations, managing crucial administrative tasks and providing vital support to our project management processes. Your strong communication skills and keen eye for detail will be instrumental in streamlining our projects and maintaining excellent client relationships. This position offers a unique blend of administrative and project-related tasks, providing an exciting opportunity to grow your skills in the construction industry while working with a supportive and forward-thinking team. Responsibilities Manage and coordinate general administrative tasks, including handling phone calls and following up on client and supplier queries. Assist with project budgeting and financial tracking using Xero, ensuring accurate and up-to-date financial records. Proactively follow up on invoices and manage project-related financial tasks to maintain healthy cash flow. Support contract administration for various construction projects, ensuring all paperwork is organized and compliant. Collaborate with the estimating team to assist with project estimations using specialized building software. Work closely with project managers to support various aspects of project management, including scheduling and resource allocation. Prepare and manage comprehensive reports related to project progress, financial performance, and other key metrics. Contribute to process improvement initiatives for administrative and project management tasks, enhancing overall efficiency. Requirements Minimum 3 years of experience in administrative or project support roles, preferably in the construction industry. Excellent English communication skills, both written and verbal, with the ability to interact professionally with clients, suppliers, and team members. Proficiency in Xero or similar bookkeeping software, with the ability to manage financial data accurately. Familiarity with construction industry terminology, processes, and best practices. Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment. Experience with contract administration preferred, including understanding of basic contract terms and conditions. Demonstrated ability to work independently and as part of a team, taking initiative when necessary. Proficiency in Microsoft Office suite and willingness to learn new software applications as required. Ability to maintain confidentiality and handle sensitive information with discretion.
