About the Parent-Infant Research Institute (PIRI) and Austin Health The Parent-Infant Research Institute (PIRI) is a vigorous and innovative Australian research institute focusing on understanding parent and infant well-being, as well as developing and delivering treatments. Our mission is to support all parents and their babies in the first 1000 days of life, from pregnancy and throughout infancy. PIRI is based at Austin Health, which is a major provider of tertiary health services, health professional education and research across three campuses in the Northeast of Melbourne and state-wide. About the role This position is to provide administration support to the Director of the Parent-Infant Research Institute and work collaboratively with the Business Manager and the broader research team. General administration General administration such as drafting emails, zoom admin support and managing day to day business including bookings, stationary, visitor queries, maintaining PIRI environment. Assisting in the preparation of budget acquittals and financial accounts. Problem-solving day to day problems. Job sharing tasks and handover, as needed. Recruitment and employment of research staff. Liaising with HR and Payroll Services. Coordinating meetings; contribution to Policy and Procedures. Management of postgraduate research students and visiting fellows. Acting as a Fire Warden as and when required. Research Administration as needed Assisting with submissions for grants, progress reports, financial auditing of grants and the preparation of papers for publication. Managing research documentation and grants including progress reports and acquittals necessary, submissions, papers, contract funding and major research collaborations. Developing familiarity with research and hospital systems. Liaison with Austin Health, external health professionals, including maternal and child health centres and national and international investigators. Undertake other ad hoc activities as requested. About you We are seeking a flexible and efficient person, able to work independently, manage tight timelines, enjoys working in a team environment and who has excellent written and computer skills. Desirable qualities include: Experience as a senior administrator. A high degree of organizational management skills including ability to deal with a range of different tasks simultaneously and manage tight timelines. Excellent communication skills, both written and oral. Understanding of grant processes including NHMRC grants, progress reports and research publication requirements. Familiarity with managing staff processes and budgets. Advanced proficiency and expertise in computer operation including Office 365 (Microsoft Word, Excel, PowerPoint), Access, Microsoft Explorer, Internet and EndNote software.
