Our reception and administration team plays an integral role in ensuring smooth operations and outstanding patient experiences. About the position We are looking for a dedicated and professional Administration/Reception Assistant to become part of our growing team. In this role, you will work closely with specialists, practice managers, and other staff to ensure the efficient operation of our practice. You will also play a key role in patient care, providing compassionate support with friendliness and empathy to foster a welcoming and positive environment for all. This dynamic role includes a variety of responsibilities, such as: General reception and administrative duties Managing patient inquiries and bookings Confirming consultation and endoscopy appointments Preparing and managing clinics Preparing and managing theatre bookings Handling billing, insurance claims, and payment processing Liaising with hospitals/healthcare facilities Proofreading and formatting patient letters. Open Monday to Friday between 8:30/9:00 - 5:00/5:30pm. Extended hours beyond the standard opening times may be required on consulting clinic days, making it essential to have the flexibility to start earlier or finish later, sometimes on short notice if the clinic runs behind schedule. This role is full-time hours; however, we are open to discussing a .8 arrangement or similar. This could include working four days a week or flexible hours within our operating hours. You must have availability for shifts across Monday to Friday. Essential Criteria: To succeed in this role, we are looking for a candidate who can thrive in an ever-evolving environment and adapt to changes as the practice continues to grow. You should possess the following: Experience in an administrative/reception role. A genuine passion for helping people and ensuring their needs are met with care and professionalism. Proficiency with digital systems, including online booking systems, Microsoft Office, Teams, and other relevant tools. A valid driver’s license and reliable car A quiet office space at home to be able to work remotely at times Additionally, you should demonstrate the following: A positive attitude and eagerness to learn Ability to work both independently and collaboratively Strong verbal and written communication skills Excellent organisational and time-management abilities Ability to multitask and prioritize effectively High attention to detail and accuracy Calm and professional demeanour, even under pressure Discretion when handling sensitive information Professional appearance and attitude Note: Flexible/hybrid working arrangements are open for discussion once trained on a shared fortnightly or four weekly rotating roster. This must be mutually agreed upon and may change based on the occupational requirements of the practice. It is essential that all clinics are covered, and at least one staff member is present in the office at all times.
