About the office/school The Admissions Office is responsible for the assessment of applications and management processes for applicants choosing to study at the University. About the role The Admissions Coordinator will deliver high level administrative support across the application lifecycle for admission to Notre Dame, including relevant pathways, and will also assist the broader Admission processing team on a national level. The position reports to the National Manager, Admissions. Key Responsibilities Coordinate admissions activities to meet processing targets, building strong relationships with Academic Schools for consistent processes. Develop and maintain process documentation and provide training for the Admissions team. Assist the National Manager and Team Leader in leading applications across all entry channels into the University, including tertiary admission centers. Provide expert advice to applicants, Academic Schools, and Admissions team members. Coordinate admissions activities for all intake cycles, including targeted and high-demand cohorts. Generate and send applicant offer letters, ensuring follow-up processes are completed. Identify and resolve process barriers, suggesting improvements for market segments. Collaborate with key departments to ensure compliance with policies and regulations. Respond promptly to applicant inquiries and input applicant data into systems, ensuring accuracy and maintaining attention to detail in all records. Offer professional advice and recommendations to applicants and broader Admissions and Prospective Student Office teams. Support policy implementation and ensure compliance with requirements set by the Australian Competition and Consumer Commission (ACCC) and relevant legislation. Liaise with Marketing, Communications, and Media teams to ensure accurate admissions information is recorded on the university website. Maintain relationships with key bodies as required - tertiary admission centres and Open Universities Australia. Assist the National Manager and Team Leader to maintain accurate program information in the student management system (PeopleSoft) and admission centers. Perform additional duties as assigned by the Team Leader and the National Manager. Qualifications, skills & experience Degree qualification in a relevant discipline with several years relevant experience or an equivalent combination of relevant experience and/or education/training in the higher education sector. Demonstrated problem-solving ability and risk management skills with an ability to proactively identify issues, provide advice and exercise sound judgment. Demonstrated ability to work effectively in a flexible, dynamic environment by managing competing priorities and adapting quickly to changing demands. Demonstrated ability to work under general direction including capability to take the lead on projects within a team (as required) and take responsibility for outcomes. Excellent analytical skills with the ability to interpret complex data sets to determine trends. Demonstrated level of interpersonal and communication skills with the ability to liaise effectively with a wider range of internal and external stakeholders acting with influence and discretion. Sound computing skills including competency with Microsoft Office Suite, database systems and internet applications. Validated time management skills with an ability to manage competing tasks and meet targeted parameters. Ability to prepare high quality documentation with excellent accuracy and aptitude to interpret and apply policy. Working with Children Check (or willing to obtain).
