Job Description

As our company is growing, we have an exciting opportunity for a skilled administrator/receptionist to join our team. Within our business, we take pride in providing a welcoming and supportive environment for people and communities of all abilities, with a focus on the NDIS, Allied Health, and long-term rehabilitation areas. This will be a busy role in a dynamic office, where you will need to be welcoming to guests and visitors while working across multiple admin tasks. We are seeking not just a skilled professional (or a quick learner) but someone who will bring a positive attitude and smile to our front office. What does the role involve? Reception duties including switchboard, greeting staff and visitors to the venue. To work positively with all staff, participants, volunteers, and community members. Understanding of and ability to work in accordance with BigDog file management, information security, and privacy. Managing Allied Health professionals' diaries and appointments. Take payments and finalize appointment invoicing. Managing Equipment Registers and Audits. Preserve the confidentiality of participants and staff to comply with NDIS and Privacy Act requirements. To actively promote the objectives and goals of BigDog as a growing entity within the community. Scanning and photocopying of documents and file management. Preparation of regular participant and staff reports as required. Sound record-keeping compliance in relation to the record-keeping activities of BigDog including staff records, participant records, vehicle inspections, professional standards, and requirements under the governing legislation relevant to the support industry. Clear and concise document management and file maintenance. Act as “point of contact” for the business, fielding general phone queries and emails within your scope of practice. Actively contribute to quality management, continual improvement, and change initiatives. Any other duty as reasonably directed. While Medical Reception experience or experience in an Allied Health Environment is preferred, we are open to the right candidate for the job based on personality, tenacity, and skills.
