Are you ready to make a meaningful impact while working in a positive and supportive environment? Our psychology service, a trusted part of the North-West community for 13 years, is undergoing an exciting transformation under new management. We’re looking for an experienced Client Relationship Officer (CRO) to join us and play a vital role in supporting our clients and team. This part-time position (3 days per week) offers the opportunity to grow with us as we develop initiatives like the Positive Psychology in the Workplace project, designed to foster the well-being of every team member. Your Responsibilities: Reception Duties: Handle all telephone inquiries, emails, and reception queries. Welcome and attend to clients with warmth and professionalism. Respond promptly to client communications, including emails and social media messages. Administrative Support: Assist team members, the director, and the practice manager with Microsoft Office tasks. Manage client data through efficient data entry and database maintenance. Oversee calendars, schedule appointments, and provide general clerical support. Deliver exceptional customer service and ensure client satisfaction. Address minor problems or escalate them to the Manager when needed. Relay messages effectively between clients and team members. Handle invoicing and support debt recovery processes. Maintain accuracy in financial transactions and records. Software & Systems Expertise: Utilize Halaxy software for administrative functions. Stay updated on procedures and policies related to Medicare, TAC, Workcover, and NDIS. Office Presentation & Maintenance: Keep reception and practice areas tidy and welcoming. Conduct stocktaking for office and kitchen supplies. Organise and maintain office resources using Excel. Our Ideal Candidate Has: A minimum of 2 years’ experience in a similar role. A valid Working with Children Check. Proficiency in Microsoft Office, especially Word and Excel. Strong computer literacy and familiarity with administrative systems like Halaxy. Exceptional verbal and written communication skills. Excellent telephone etiquette and a cheerful, professional demeanour. Key Skills & Attributes: Impeccable time management and the ability to work autonomously. A proactive approach and willingness to learn. Strong problem-solving skills and an ability to manage small projects. Team-oriented with the ability to thrive under tight deadlines.
