About the role: The primary purpose of this position is to support several Engineers Australia’s office bearer (volunteer) committees to enable them to operate efficiently through the delivery of high-level secretariat services. The position also assists with projects being undertaken by volunteer task-based teams. Location: Flexible with preference for Melbourne, Sydney or Canberra In this role you will: Provide high-level secretariat and administration services to support the efficient operation of several Learned Society groups, including College Boards and Committees. Be the first point of contact for enquiries for a range of Learned Society queries. Coordinate the Learned Society shared inbox by being the first point of contact for internal and external enquiries. You will respond and escalate matters as required. Facilitate conversation between Engineers Australia and several allocated volunteers' committees. Maintain accurate records and reports. Preparation and coordination of a range of documents such as agendas, meeting notes, action lists, emails, etc. Support the Team Leader, Group Management with project coordination in administrative tasks. Build a knowledge base and understanding of Engineers Australia, (non-technical) engineering matters and our volunteer community. Here’s what we’re looking for: You have proven experience in building and sustaining positive working relationships with internal and external stakeholders. Sound judgement, excellent organisational and time management skills, pro-active and strong attention to detail. Strong co-ordination and problem-solving skills and able to work well in a small team to support a collaborative working environment. The ability to manage multiple demands and prioritise work and short deadlines. Experienced and comfortable working with stakeholders, internal and external, at all levels of business. You can work independently and as part of a team to support team and organisational objectives and outcomes. You are a self-starter and committed team player, who has a great sense of initiative with the ability to prioritise work accordingly and manage stakeholder expectations as required.
