About the Role This is a potentially career-shaping opportunity for an enterprising and ambitious person to join the firm as an Executive Assistant on a permanent, full-time basis. You will be at the centre of Australia's largest plaintiff law firm, directly exposed to how decisions are made and carried out in a complex, national professional services firm. The core of the role is providing administrative and operational support to a Senior Executive ensuring their time and attention are directed at priority strategic and operational issues. You will also have wide scope to use your initiative and people skills to identify bottlenecks and streamline processes and workflows using standard tools as well as emerging technologies. This role is based in-person in our Melbourne CBD office Monday-Friday. Key Responsibilities: Administrative Support: Provide high-quality, confidential administrative support, handling day-to-day responsibilities, including scheduling, correspondence, credit card reconciliation, ad-hoc tasks and project coordination. Meeting Coordination: Plan and coordinate meetings, conferences, and travel arrangements, managing the overall schedule while being adaptable to changes and last-minute adjustments. Strategic Support: Ensure the efficient and strategic operations by managing daily tasks and long-term projects. Stakeholder Liaison: Act as a liaison for a Senior Executive, providing exceptional service to internal and external stakeholders, and maintaining strong professional relationships. Board and Committee Papers: Prepare, edit, and distribute Board and Committee papers and associated correspondence, ensuring accuracy and timeliness. Action Item Monitoring: Monitor and update action items for various executive meetings, ensuring follow-up and completion of tasks. Document Management: Draft, edit, and distribute correspondence, documents, and presentations as required, maintaining a high level of professionalism and attention to detail. About You: Organisational skills: Proven ability to multi-task and work independently to plan, coordinate and organise projects in a rapidly changing environment. Technical literacy: Well-developed information technology skills (Microsoft Suite) and an interest in using AI and other advanced tools. Communication skills: Demonstrated ability to build rapport with stakeholders at different levels and strong problem-solving and decision-making capabilities and attributes. Analytical skills: Ability to think through problems and escalate where appropriate. Leadership skills: Tenacity, enthusiasm and initiative with the ability to handle conflict. Critical thinking and understanding of the firm with the ability to mentor and develop administrative staff. Confidentiality: Ability to maintain a high level of confidentiality and handling of sensitive information.
