The role An exciting opportunity has arisen for an experienced Executive Board Coordinator in a new role where you will provide support to the Company Secretaries, GPT Group Board, subsidiary boards and Board Committees and executive support to the Chair and Directors. This will also involve collaborating with the Legal, Risk, Compliance and Governance Team as well as other key business functions across the Group. What you will be doing Providing proactive, accurate, timely and efficient support to the Company Secretaries, GPT Group Board and Committees and subsidiary boards, including arranging Board and Committee meetings and coordinating Board and Committee papers. Providing Executive Assistant support to the Chairman and Directors, including diary, travel and other required assistance for GPT related activities. Managing the new Director induction processes and supporting the onboarding of new Non-Executive Directors. Arranging Board events including dinners and asset tours. Maintaining the electronic company records database, Diligent Entities, with up to date company information and assisting with required ASIC filings. Supporting the Assistant Company Secretary and Fund Operations Manager with tasks related to managing the share registries and fund operations. Managing the corporate intranet sites for the Legal, Compliance and Governance function. Proactively participating in process improvement initiatives and projects including for systems, automation and document management. What makes you stand out To be successful in this role, you will have proven experience in a senior Board administrative role, preferably at an ASX listed company. This will include working with boards or company secretariats, with expertise using Diligent Boards and Diligent Entities or similar products and have an understanding of ASIC reporting requirements. This role would suit an excellent communicator who is able to build and maintain strong stakeholder relationships, has excellent attention to detail, exceptional organisational and time management skills and a willingness to ‘roll up your sleeves’ to get work done. You will also have the well-honed ability to juggle multiple competing priorities and be seasoned at working collaboratively, confidentially and with discretion.
