About the role The purpose of this role is to: be a key member of the TPCH Executive Management Team provide high level support and advice to the Executive Director and the TPCH Executive Management Team Manage and coordinate the daily functioning of the Office of the Executive Director to deliver client focused executive management and achieve a high level of performance in the demanding executive environment. About you Our ideal candidate will be someone who can carry out the following key accountabilities in accordance with the Metro North Health's values: Provide high level confidential advice and executive assistance to the Executive Director in a complex, fast paced and sensitive working environment. Coordinate a number of executive lead initiatives across TPCH. Mentor and professionally manage administration officers within the Executive Office TPCH. Act as the primary point of contact for the Executive Office with all internal and external stakeholders for incoming and outgoing communication. Manage and oversee the flow of incoming and outgoing correspondence through the electronic records management system in a complex and sensitive work environment to ensure timelines and quality control requirements are met. Coordinate the administrative aspects of the Executive Office; managing diary and emails, including coordinating relevant briefing material for meetings, associated booking of meeting facilities. Screening, directing and responding to enquiries in a timely manner. Provide initial response (within delegation) and any associated follow up where necessary.
