Job Description

We are seeking a highly organized and proactive Administrative Assistant to join our team. The successful candidate will play a key role in ensuring the smooth operation of our office by providing administrative support to our engineering team and maintaining efficient office processes. Responsibilities: Handle general office duties, including answering phone calls, responding to emails, and managing correspondence. Prepare, form, and distribute engineering reports and documents. Manage and maintain client records, project files, and office databases. Assist with scheduling and coordinating meetings, appointments, and project timelines. Process invoices, quotes, and purchase orders, ensuring accuracy and timely delivery. Liaise with clients, suppliers, and contractors to address inquiries and provide updates. Support the team with document control and quality assurance procedures. Order and manage office supplies to ensure the smooth functioning of daily operations. Provide general administrative support to the engineering team as needed. Requirements: Previous office administration experience – preferably within the industrial/logistics sector. Xero software experience (preferred). Monday.com software experience (preferred). Microsoft software experience (preferred). Exceptional organizational skills and attention to detail.
