Your success is our success. JOB SUMMARY: Management of all Facility concerns and support of the Management Team Members. CUSTOMERS: Prepare and co-ordinate new customer welcome packs, ensure accurate information is kept on file and details relayed to accounts and maintenance teams in a timely manner. Send Welcome letters to clients/customers. Ensure all customers are dealt with as a priority. Co-ordinate, prepare and keep accurate records of customer estimates as instructed by the Company management team. Review customer and supplier contracts that pertain to administration functions and improvements. Maintain Maintenance Agreements register. STAFF: Ensure all paperwork (LOO, Employment Agreements) are sent and saved in the Personnel files. Assist in relocation if required. Maintain an up-to-date list of staff information on Master Spreadsheet. Co-ordinate all personnel inductions and individual sessions with the General Manager/Engineering Manager or supervisor (including D & A tests). Prepare Training Plans for all new staff. Coordinate 6-wk, 12-wk and 6-mth check-ins for new staff. Coordinate and supply of uniforms for all Service Centre’s staff. Coordinate all aspects of Apprenticeship Training and schooling. Staff gifts/incentives. Ensure all staff birthdays and major milestones are recognised. Ensure Staff incentives (Health Packages) are advised and processed. Assist with ASIC Cards as required. Maintain Leave & Events Calendar – ensure A/L, training are accurately recorded. Organise all training for staff (Type Training – Engineers). GENERAL: Australian SharePoint Support. MYOB Administrator. Ensure all IT requirements (Laptops, Screens etc) are maintained. Main point of contact for all IT related queries. Ensure all Textron forms are updated and accessible to staff. Update and maintain the Textron Aviation Australia website as applicable with personnel details and recruitment advertising. Co-ordinate and assist in meetings, produce and distribute agendas and minutes. Co-ordinate and manage all company phone and information technology (IT) assets. Review customer and supplier contracts that pertain to administration functions and improvements. Co-ordinate plant and equipment purchases, and maintenance of company facilities as instructed by the General Manager or Engineering Manager as required. Co-ordinate and keep accurate records of company vehicle service records. Hold custody of the Textron Key Register, ensuring details are distributed and recorded accurately. Be responsible to add and remove base alarm users at Jandakot, maintaining an accurate record of code holders. Co-ordinate and maintain airport security passes for the Company. Prepare and organise events, announcements and employee appreciation awards. Co-ordinate and distribute corporate uniforms and gifts. Set up meeting rooms and/or video meetings as required. Perform other administrative tasks as directed by the General Manager or management team as required. Undertake a leadership role in creating a fun culture and clean office at all times. Maintain Asset Register for all purchases for company (all bases). Ensure all costs (job related) are recorded in WinAir for invoicing needs. Reconcile GMs and own Concur Expenses and assist others when required. TRAVEL: KTA FIFO roster. Organise all travel and accommodation for Wichita training or any overseas travel. Organise travel and accommodation for any travel required by staff (Local/Internally). Maintain register of all Site-to-Site travel. MINIMUM REQUIREMENTS: Minimum 3 years experience in similar role. Proficient in use of standard office equipment and Microsoft Office applications (Word, Excel, PowerPoint, and Outlook). Dynamic and proactive personality, ability to work with teams. Solution driven and structured way of thinking. Self-starter and with a can-do mentality. English language knowledge (spoken and written). Aviation experience favorable - not essential.
