Job Description

Salary based on experience and qualifications As part of a small team and in collaboration with the Management Team, ensure: Accurate, timely and efficient financial administration and reporting to achieve optimum outcomes for Healthy Living NT and its stakeholders That the Association’s policies, procedures and financial management are current based on best practice standards and the highest level of integrity and quality. The efficient business administration, continuous quality improvement and delivery of services to achieve optimum outcomes for Healthy Living NT, its members and customers throughout the NT. Effective oversight and development of HR, OHS and ICT functions.All performance and conduct of duties shall be carried out in accordance with the principles of best practice, and in line with Healthy Living NT’s Guiding Values and objectives identified in the Strategic Plan. An attractive salary package will be negotiated based on experience and qualifications. POSITION OBJECTIVES / FUNCTIONS Accurate, timely and efficient financial administration and reporting to achieve optimum outcomes for Healthy Living NT and its stakeholders. Preparation of draft budgets and cost allocation policies and procedures Efficient, timely and accurate monthly and annual reporting including Profit and Loss and Balance sheet to trial balance stage based on full accrual accounting Efficient, timely and accurate cost centre and project reporting on a monthly and annual basis to enable effective acquittal of funding grants to major and minor funders. Efficient, timely and accurate payroll management including wages, salary sacrifice, superannuation and leave entitlements Efficient, timely and accurate reporting to statutory authorities including the ATO and the Not-for-profit Commission (ACNC) including preparation of BAS, GST and FBT statements and STP reports. Prepare and participate in annual global, quarterly audit reviews and ad hoc project audits. Undertake efficient creditor and debtor management, depreciation schedule management, oversee HLNT insurance reviews and management and lease commitments. Oversee asset and record management for HLNT within approved policies. Governance and Quality Improvement In collaboration with the management team, provide input into HLNT’s strategic planning and ICT reviews. Provide leadership and support for HLNT’s Quality Improvement system. Provide governance support to the CEO as required. Human Resources and Information Communications Technology Oversee and manage HLNT’s administrative, customer service and ICT team. Prepare job descriptions and performance reviews, undertake contract preparation and oversight, and oversee compliance with HLNT Terms and Conditions of Employment. Ensure HLNT employment practices are current and compliant. Oversee HLNT’s ICT framework and liaise with contractors as appropriate. Oversee Work Health and Safety Ensure all new staff are inducted to HLNT Work Health and Safety. Oversee employee familiarisation of any new WHS issues and updates. Ensure procedures are documented and available to all employees relating to WHS. Maintain currency of HLNT’s OHS Risk Register and Incident Reporting. Oversee office maintenance and housekeeping for HLNT. Oversee the effective administration and delivery of Healthy Living NT retail, membership, customer service and administrative functions Ensure high quality and timely administrative support services for Healthy Living NT’s services, its health professionals and clients. Oversee the documentation of Healthy Living NT policies and procedures. Oversee continuous quality improvement standards of customer service to Healthy Living NT clients and in office procedures and management. Management of Healthy Living NT product sales based on sound commercial principles. Oversee efficient revenue reconciliation and administration of product supply schemes. This position is responsible to the CEO and other duties may be directed.Please note that the responsibilities outlined in this position description are not exhaustive, and only an indication of the work of the role. This position will be required to: Occasionally work non-standard hours. Undertake travel within the NT, including driving where necessary. Some limited interstate travel. It is a requirement of employment with Healthy Living NT that all health professionals obtain and maintain: a satisfactory Police Criminal check. a Northern Territory Driver’s License. Selection Criteria A mature, pleasant and confident demeanour, with an ability to deal courteously with a wide range of people - clients, staff and stakeholders. Strong knowledge of accounting software and MS Excel. Relevant tertiary qualifications. Demonstrated experience in financial administration and reporting including:Budgets and cost allocation. Payroll management including PBI salary sacrifice, superannuation and leave entitlements. Statutory reporting for accounting, tax and statutory compliance requirements. Acquittal of funding grants and projects. Annual audit and preparing annual financial statements. Demonstrated experience of office administration and supervision of staff. Demonstrated experience of working collaboratively. Ability to successfully deal with a number of tasks simultaneously, with good time management and prioritisation skills. Proven ability to work independently with minimum supervision and as part of a small team. NT Driver’s License and satisfactory Criminal History Check. Experience in Reckon Accounting Package. Prior experience in Not for Profit/ Charitable organisation financial administration.
