We are a high profile and well established Chiropractic and Wellness clinic based in Carlton North. We are looking for a motivated and enthusiastic person to join our friendly energetic team - immediate start. Casual rate of $30 per hour + Super + complementary Chiropractic care and further clinic benefits & discounts. Sufficient training will be provided. This position is based in Carlton North; however, we may require you to work in our Hampton clinic from time to time. Own transportation and driver's license is a must. Must be flexible and available to work TUES & THURS. The successful applicant will be highly organised, neatly-presented, mature, and possess a bright, caring nature, nurturing excellent communication skills AND must hold the relevant experience and qualifications below. The daily responsibilities include managing the front desk, answering e-mails and phone calls, taking payments and health fund with complete accuracy, following procedures, scheduling appointments, recalling patients, welcoming patients, and managing day-to-day operations of the clinic. To be successful in this role, you must be able to work with sensitive patient data and maintain confidentiality. You should also be able to multitask under pressure without sacrificing accuracy in your work. Top candidates will be detail-oriented and service-driven. Previous experience in a similar position is required - preferably in a Chiropractic clinic or similar Allied Health. We also require that you have studied or are currently studying in a health-related field. Important: If you do not hold the above, please do not apply. Receptionist/Admin Assistant Responsibilities: Greeting and welcoming patients upon arrival. Ensuring that the waiting area and clinic remains in excellent condition at all times. Ensuring safety, compliance, and procedures are followed at all times and reporting to the Practice Manager any discrepancies. Answering phone calls, responding to e-mails, scheduling appointments, and recalling patients. Taking payments, bookings, balancing daily takings, etc. Ensuring the practice and staff are following the correct procedures for TAC, EPC & DVA patients and assisting with staff or patient queries. Ensuring the Practitioners' Calendars are booked efficiently. Collecting and recording patients' personal and medical information. Verifying payment methods, including patients' health insurance coverage. Tracking and ordering inventory. Preparing treatment rooms prior to appointments, as needed. Monitoring the cleanliness and maintenance of the clinic and reporting any necessary improvements to the Practice Manager. Assisting the Practice Manager with management of IT, claims systems, Marketing, Social Media, Expos, Staff training, Seminars, special projects, new systems implementation, etc. Requirements: Highly proficient in Microsoft Office, Excel, and Client-based systems (we use Prac Suite). Excellent verbal and written communication skills. Strong interpersonal and organizational skills. Well-groomed, professional appearance. Able to work early morning, late evenings, and weekends, as needed. Able to work at short notice to assist on other shifts where needed. 2 years' administrative experience, preferably within a healthcare or wellness setting. MUST have current driver's license and own car. Full training and support will be provided; however, there is an expectation you will already be highly proficient in computer and office admin skills and have some knowledge/education in health care.
