About the role Aim: The Impact & Granting Team is responsible for partnering with all staff and business units across SCHF (internal) and with Sydney Children’s Hospitals Network (SCHN) and other external beneficiaries to develop and implement business processes that contribute to SCHF’s strategic goals and build strong, positive relationships with key stakeholders. The team acts as a link to connect and align people and systems strategically and operationally, within SCHF and between SCHF and external partners. The Granting Coordinator plays a key role in supporting the Impact & Granting team to create a more effective and impactful process for maintaining visibility and accuracy of Fundraising Priorities, and the set up / transition to a new Impact & Granting database to retain visibility of funds transferred to beneficiaries and Impact data year on year. The Granting Coordinator will also help with SCHN clinician engagement in relation to existing restricted funds held at SCHF. The Granting Coordinator will work on a range of tasks and projects, to triage queries, action approved communications and conduct and document follow-ups as part of the joint Funds Advisory Working Group (FAWG) with SCHN. Administration Support Databases: Conduct mapping activities for Data migration of Funds and Products from Salesforce Lightening (current CRM) to Salesforce NP (new CRM). Create FY26 Fundraising Priorities entries in the CRM and maintain with up-to-date detail/ costing / status. Ensure Hospital contacts are kept up to date in the CRM. Maintain edits to Fund / Gift Designation records in the CRM in line with approval processes. Conduct monthly data quality checks to ensure CRM entries accurately indicate how funds can be used. Contribute to the setup of an Impact & Granting database to trace contributions year on year. Participate in the Impact & Packaging (IPACK) admin team and make Granting related edits to the IPACK Hub including updates to documented Granting processes. General: Manage Granting related Jira submissions, collate repository of standard responses, and triage new queries/ requests via approved team allocation method. Create agendas and draft minutes for internal FAWG prep, Redevelopment and other meetings as required. Collate and summarise non-priority briefs / ad hoc requests for FAWG prep meetings. Investigate and support SCHN Finance re: queries and acquittal escalations. Coordinate calendar invites and meetings as required. Extract, review, and compare reports from Salesforce database, external spreadsheets and Finance system as required for the Joint FAWG. Conduct numerical investigations / reviews referencing restricted balance reports, CRM entries and checking with Philanthropy team members where relevant to understand the cause of complex problems and possible solutions. Clinician and Stakeholder Engagement: Liaise closely and work with SCHN Finance on joint projects as part of FAWG. Contribute to Impact & Granting team engagement with clinicians and other stakeholders. Coordinate individual and group meetings (including diary management, agendas, and minutes) to facilitate collaboration with all SCHF teams; SCHN Finance, SCHN Clinicians and other relevant stakeholders. Coordinate and send the approved communications associated with approved SCHN engagement / FAWG projects. Requirements and Qualifications: At least 2 years’ experience with a high-level application of administration support. Analytical experience, intermediate to advanced excel skills. Numerical literacy – comfortable with numbers, conducting reconciliations, financial tracking. Proven track record of administrative support and project/team coordination. Demonstrated strong interpersonal skills including the ability to communicate, engage and collaborate with internal and external stakeholders across varying levels and backgrounds. Excellent attention to detail. Experience working with numbers, financial tracking, reconciliations or budget management. High level computer skills in Microsoft Office suite, particularly in Excel, and experience using CRM databases. Salesforce experience a bonus.
