Heritage Bookings Administration Officer About us The Wurundjeri Woi-wurrung Cultural Heritage Aboriginal Corporation is a Registered Aboriginal Party (RAP) appointed under the Aboriginal Heritage Act 2006 (Vic.). We represent the Wurundjeri Woi-wurrung Traditional Custodians of Melbourne and the Greater Melbourne region, and we take great pride in our responsibility for protecting and managing Aboriginal cultural heritage objects and places on Wurundjeri Woi-wurrung Country. The Corporation offers a range of other cultural services including environmental land management, cross-cultural education, traditional Welcome to Country and Smoking Ceremonies, research, and cultural consultations. Purpose The Cultural Heritage Unit is responsible for managing Aboriginal cultural heritage in accordance with the Aboriginal Heritage Act 2006, and facilitating consultation between Wurundjeri Woi-wurrung Elders and external stakeholders for a diverse range of projects including Cultural Heritage Management Plans (CHMPs), Cultural Heritage Permits, research projects, and local and state government projects. This role is responsible for the rostering of meetings, inductions and inspections for Cultural Heritage Unit (CHU) Elders and staff. You will be a point of contact for our Elder Bookings team, requesting availability and managing the allocation of meetings, inductions and inspections in line with specific requirements. You will possess strong stakeholder management, administrative, communication and time management skills. Key responsibilities Preparing the weekly Cultural Heritage Unit (CHU) Elder Bookings roster, obtaining Cultural Heritage Unit Manager approval for rostering; Being the first point of contact for members, staff and external stakeholders regarding Elder Bookings rostering enquiries and allocations; Managing Elder availability to ensure that Elder are allocated to appropriate shifts and sending out weekly shift allocations; Ensuring that the Elder Bookings log is maintained and updated daily to reflect any changes such as staff absences or changes to the roster; Confirming Elder attendance with external stakeholders weekly; Answering telephone calls for the Cultural Heritage Unit, responding efficiently and appropriately to internal and external stakeholders; Assisting with the management of the Heritage Bookings email inbox, helping to improve response time to queries; Consulting with Elders and staff, and Finance Unit staff, regarding Elder booking and allocation queries as required; Raising Cultural Heritage Management Plan (CHMP) related queries with Elders and the Cultural Heritage Unit team members as needed; Liaising and collaborating with other teams within the Wurundjeri Corporation; Liaising with the Health, Safety and Environment Officer to organise any training or inductions for staff as needed; Contributing to regular Cultural Heritage Unit reporting to Wurundjeri Board of Dirctors; Develop and maintain collaborative working relationships with the Wurundjeri Elders and, staff and external stakeholders as required to perform your role. Advocate for Wurundjeri Woi-wurrung rights and interests as Traditional Custodians and act as a role model for the Wurundjeri Corporation in all that you do. In conjunction with your line manager, identify areas for professional development, in line with your career development plan. Always put the wellbeing of self and others as a priority and champion, implement and adhere to the organisation’s health and safety policies and procedures. Undertake other duties or responsibilities as requested by your line manager that may be required from time-to-time. About you Education and qualifications (or equivalent level of learning) High school Certificate of education. Relevant tertiary qualification/s (e.g. in administration, Cultural Heritage or Indigenous studies) and/or equivalent level of professional experience. (Desirable but not essential) Experience Experience as a team administrator providing administrative and customer service. Suitable experience working with Microsoft 365 business suite, including Outlook, Teams, Word, PowerPoint and Excel. Experience with information management systems and document control would be highly regarded. Knowledge and skills Strong organisational and time management skills. Excellent oral and written communication skills. Ability to work in a complex work environment. The ability to conduct duties in a confidential and culturally sensitive manner. Reasonable knowledge and appreciation of Aboriginal and Torres Strait Islander peoples, cultures and matters including cultural safety and social issues. Ability to support positive working relationships with Wurundjeri Woi-wurrung Elders and members. Ability to manage tasks with limited supervision and ability to problem solve and effectively time manage conflicting priorities.
