Chifley Square, Sydney NSW 2000, Australia Posted Wednesday 15 January 2025 at 1:00 pm About the role Located in our Sydney CBD office and reporting into the National Practice Manager, the Legal Administration Assistant is responsible for the coordination and management of Legal Secretarial activities within the office. This is a rare opportunity for an experienced legal administrator to join a close-knit team, who support one another and celebrate each other’s successes. This role is highly valued within the organisation and you would be seen as a key contributor to the day-to-day operations of the business. Please Note: We are very happy to provide a hybrid work environment. However, you must be available to work from the office on Tuesday, Wednesday, and Thursday. Your work from home days will be Monday and Friday. Working hours would be 8.45 am - 5.15 pm. Main responsibilities include: Direct client enquiries/matters to appropriate director/lawyer in a professional manner; Calendar and email management of allocated fee earners; Produce accurate monthly invoices for designated team and ensure time sheet entries are entered into the firm's accounting software; Debtor management; Produce accurate management reports, including debtor reports, using the firm’s accounting software; Co-ordinate meetings and briefing sessions; Produce accurate and professional documents, letters, presentations, briefs, and any other material requested in accordance with the firm's business rules in relation to style and format; Open, close, and archive client files in accordance with the firm’s protocol; Undertake relevant search enquiries; Undertake any other administrative responsibilities/duties as indicated by the National Practice Manager; Other duties as directed. To be successful in this role, you will: Demonstrated experience in a similar role in the Law industry; Proactive and organised in nature; Have previous experience using document management and legal practice management systems; Be flexible and able to adapt to changing environments; Possess high-level verbal and written communication skills; Work collaboratively with colleagues and partners.
