We have a team of over 90 professional and support staff across two office locations.We have a rare full-time opportunity for an enthusiastic Office Admin Support/ Receptionist to join our Shared Services team.This role will be required to work in our Melbourne CBD office full time. This is a busy and varied role where your main purpose will be to ensure that all aspects of Reception run smoothly and efficiently. You will also be required to provide high level administrative support to the team.Duties & Responsibilities: Primary point of contact for clients – answering and screening all inbound phone calls for the Melbourne CBD and Caulfield offices, transferring calls, taking messages and checking and responding to voicemails Meeting and greeting clients in a professional and friendly manner Maintaining meeting room bookings Keeping reception area and meeting rooms clean and tidy Daily mail management Effective and efficient management of overall front of house function - office amenities, office access, office supplies, catering, facilities Providing administrative support - helping out EAs with overflow work when needed, new client forms, setting up new clients in our portals We are looking for candidates who possess the following: Excellent verbal and written communication skills Professional service experience, preferred Proficient in the use of Microsoft Office Excellent presentation and a friendly manner Ability to interact comfortably with people at all levels, with a strong focus on building professional working relationships and customer service Ability to use initiative, judgement and discretion when dealing with staff members and clients of the company High attention to detail and ability to work to deadlines Ability to follow directions, learn new concepts quickly and a strong work ethic An enthusiastic, flexible and pro-active approach.
