PRIMARY PURPOSE OF ROLE: The Office and Business Operations Coordinator ensures the seamless daily operation of the office environment while providing critical business administration support across Australia, Canada and New Zealand. This role includes overseeing office management, coordinating events, managing inventory, processing administrative tasks, and supporting internal and external stakeholders. This position plays a vital role in maintaining efficiency and a positive work environment while enhancing operational processes and customer fulfilment. Key Responsibilities Office Management and Coordination: Oversee office operations, including the maintenance of office and kitchen supplies and coordinating with vendors for timely restocking. Liaise with building management for repairs, access cards, parking spaces, and other facility needs. Manage company-run events and wellness initiatives, including budget oversight and coordination with team members. Ensure the office remains clean, organised, and compliant with safety regulations. Coordinate first aid and fire warden training. Support meeting logistics, manage meeting room bookings, and arrange travel and accommodation for employees. Handle incoming mail and shipping of outgoing packages. Business Operations and Administration: Assist with account setups, including Gmail, Salesforce, and other software tools, ensuring proper access. Manage shared inboxes for sales, kits, and general administration, providing prompt and effective responses. Monitor and improve operational workflows and identify inefficiencies, collaborating with the Head of Operations to implement solutions. Employee Onboarding/Off-boarding and HR Support: Manage onboarding processes to ensure new hires have access to systems and resources before their start date. Maintain accurate onboarding and offboarding records in platforms like Monday.com and HiBob. Process offboarding tasks, including account deactivations and email forwarding. Support HR with generating documentation, monitoring work visas, and overseeing performance review processes. Customer Fulfillment and Support: Validate kit requests and process orders with suppliers, ensuring accurate and timely delivery. Address customer kit support issues through resolution, liaising with suppliers and stakeholders as necessary. Generate purchase orders, reconcile invoices, and process payments for kit and office supplies. Process Documentation and Project Coordination: Document, update, and maintain operational processes to ensure consistency and compliance. Assist with key projects, create detailed project plans, and meet deadlines to achieve objectives. Lead initiatives to improve workplace efficiency and employee engagement.
