The team handles claims across all major classes of insurance and acts for the biggest names in the insurance industry, both locally and overseas.The Role An exciting opportunity has arisen for an experienced Office Manager/Legal Assistant to join our close-knit insurance litigation team in Hobart.Office Manager duties will include: Review office procedures in consultation with all State office managers; Liaise with building management (building works, evacuations procedures, security, access etc); Manage needs and contract agreements with service providers; Monitor and arrange office repairs and servicing; Maintain the condition of the office, ensuring compliance with WHS requirements, including the coordination of fire wardens; Interview, supervise and mentor new administrative employees; Monitor workloads of administration staff and clerks; Manage archiving process; Comply with office budgets and manage expenditure; Organise desks and set up IT equipment for new starters; Assist the finance team by reconciling cab charges and principal’s credit cards; Assist the firm’s business services teams with various tasks as required; Organise office social events; Assist in coordinating events and training sessions for the Hobart office; Office ad hoc tasks as required. Legal Assistant duties will include: File management – opening/closing files and filing/e-filing; Monthly billing and reporting; Adhering to client service standards; Drafting correspondence; Client liaison; Brief preparation; Diary and travel management including booking appointments; General LA and secretarial support. About You This role will suit a candidate with the following: Previous experience in an office management role in a legal or professional services environment; Experience as a Legal Assistant in defendant insurance litigation; Willingness to work collaboratively as a part of a close-knit admin team; Excellent organisational skills with an ability to manage key responsibilities; Experience using precedent, billing and file management programs; Enthusiastic and proactive approach to work; Strong communication skills; Ability to build strong internal relationships.
