Officer Manager and Executive Support Officer The Division of Heart, Lung and Critical Care are looking for an Office Manager and Executive Support Officer to join their team. The Division of Heart, Lung and Critical Care Services provides comprehensive critical care, surgical and medical specialities and diagnostic radiology services to PAH patients, with secondary, tertiary and quaternary referral services for hospitals and medical practitioners in Queensland. This position supervises and coordinates the administrative team within the Executive Office of the Division of Heart, Lung and Critical Care, Princess Alexandra Hospital. About the Role Supervise administration staff in line with quality human resource management practices including the Performance Development Plan process for all administration staff within the Division of Heart, Lung and Critical Care executive team, monitoring and recording of flex balances, identifying staff absenteeism and reporting accordingly, and participate in the recruitment and selection process in conjunction with the Administration Manager. Provide confidential executive and high-level secretarial support including production of high-quality documents and records; collation of information for preparation of briefing notes, Ministerial and parliamentary questions; timely provision of necessary records and documentation as required by the relevant Manager or Executive Director. Assess incoming correspondence using legislative and procedural guidelines to determine the appropriate action required. Liaise with relevant units across the Princess Alexandra Hospital and Metro South Health to provide responses and/or complete tasks accordingly. Contribute to the development of databases and spreadsheets, complete data entry and reformatting of documents and maintain accuracy and integrity of information in databases and produce and action reports when requested.
