We are seeking a highly skilled Executive Assistant to provide top-tier administrative and coordination support to the General Manager and other leaders based in Sydney. This role is pivotal in ensuring smooth operations and effective time management for our leadership team. This is a part-time, 24 hours per week with flexibility around how/when you do these hours. Hybrid role with at least 1 day per week in the office. Key Responsibilities: Calendar Management: Manage calendars for the GM and two senior managers, organising meetings and scheduling appointments across multiple time zones. Make administrative decisions and requests on behalf of high-level managers. Travel Coordination: Handle international and domestic travel arrangements, including flights and accommodation, ensuring calendars are accurately updated. Expense Management: Submit accurate and timely expenses for three leaders on a monthly basis. Event Management: Organise team offsites, events, and visits from executives, including venue sourcing and catering. Manage virtual events using technology. On-boarding: Ensure new hires are equipped with necessary technology and have a positive on-boarding experience. Collaborate with HR and hiring managers. Business Knowledge: Develop a deep understanding of the business, reporting lines, and administrative processes. Act as an information resource. Adhoc Support: Provide additional support to the Leadership Team and wider business segment as needed. Candidate Requirements: Preferred Experience: Strong diary management and organisational skills. Proficiency with Outlook, Teams, and PowerPoint. Previous experience in a similar role supporting multiple executives. Experience in a multinational organisation. Previous experience with our client is beneficial. Tech-savvy with a willingness to learn and use new tools. Key Knowledge, Skills & Experience: 5+ years of experience in a similar role supporting multiple leaders or in a one-to-one support role at a leadership level. Expert proficiency in Microsoft 365 Productivity suite (Outlook, PowerPoint, OneNote, Teams, SharePoint). High level of administrative skill, organisational and communication skills. Attention to detail, proactive, and a strong team player. Proven experience in managing confidential information with diplomacy and professionalism. Ability to draft emails on behalf of high-level managers. Strong multi-tasking abilities and excellent communication skills. Top Hard Skills Required: EA background with proactivity, diary management, and understanding of organisational structure. Absolute proficiency with Outlook, PowerPoint, MS Suite, OneNote, and Teams. Experience communicating with executives and other EAs of partners, both written and spoken. Experience in a large multinational organisation across different time zones.
