THE ROLE The Payroll Officer & Human Resources Assistant fulfils a key role within the Human Resources Team and is responsible for, under the direction of the Human Resources Officer, ensuring staff are paid correctly and on time. This position works closely with the Business Manager and is supported by AngliSchools to maintain the accuracy and integrity of payroll system data and records. The Payroll Officer & Human Resources Assistant also supports the Human Resources Officer and the College Leadership Team in Human Resources functions related to recruitment, onboarding and offboarding. The Payroll Officer & Human Resources Assistant will have excellent interpersonal skills, be analytic, dynamic, and proactive in the continuous improvement of workflows, processes and efficiencies. They must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people. RESPONSIBILITIES AND DUTIES The key responsibilities of the role include (but are not limited to): Payroll Act as the point of contact for staff for payroll queries. Undertake all administrative duties for all payroll processes. Ensure all new staff are entered into the payroll system in a timely manner. Enter changes to employment terms and conditions in the payroll system (e.g. FTE loading, averaging calculations, allowances, deductions, etc.). Calculate, process and communicate salary changes as required under the direction of the Human Resources Officer. Process monthly payroll of approximately 250 staff. Amend tax, superannuation and salary packaging for staff when requested. Process ad hoc payroll if required. Prepare payroll reports, including End of Month reports. Calculate non-term entitlements for Teachers. Calculate and reconcile payments for averaged staff on termination. Conduct leave audits and LSL entitlement calculations for existing and departing staff. Ensure Australian Tax Office and superannuation payments are paid in a timely manner. Process single touch payroll to the ATO. Calculate termination payments. Reconcile salary packaging accounts. Calculate paid parental leave payments and reconciliations for Centrelink. Provide separation certificates for Centrelink. Download updated advice, and lodge end of pay Child Support Agency remittances. Union deductions – end of pay remittances. Undertake TRP calculations for annual increases and variations. Undertake EOFY reconciliations in tandem with AngliSchools ichris System Administration. Human Resources Support the administrative functions in the Human Resources Department under the direction of the Human Resources Officer. Maintain employee compliance requirements including current Teacher Registration, Working with Children, Nationally Coordinated Criminal History Checks, First Aid etc. Ensure all government reports are completed by due dates (e.g. Census, WEGA, ABS, Somerset, etc.). Prepare Statements of Service and Confirmation of Employment letters. Check all staff leave applications are approved and follow-up any outstanding applications. Undertake HR21 password re-sets; HR21 training and induction for new staff and managers. Apply annual salary increments for relevant staff. Liaise with Head Office ichris System Administration to request for system configuration for: new positions, ending redundant positions, new super funds, new allowance or pay codes. Respond to staff queries regarding entitlements to leave, benefits etc. Assist with staff recruitment processes. Maintain and archive employee files in accordance with privacy legislation and College policy. QUALIFICATIONS Relevant industry and/or tertiary qualifications are advantageous but not essential. Current or willingness to obtain: Current Working with Children Check, Current First Aid certificate, and National Coordinated Criminal History Check. REQUIRED EXPERIENCE Experience interpreting Awards and Enterprise Agreements. Proven experience in end-to-end payroll processing. Experience using a payroll system (ichris or Synergetic highly desirable but not essential).
