About the Role This high-impact role is perfect for a seasoned professional who understands the critical importance of effective contract and vendor management. You’ll play a key role in ensuring that all contractual obligations are met, compliance is upheld, and vendor performance is optimised. As a Contract & Vendor Manager at Azooa , you’ll lead a small, dedicated team and be responsible for the entire lifecycle of supplier and contract management, from initial negotiation through to performance evaluation and closeout. Your ability to navigate complex procurement environments, identify areas for improvement, and foster collaborative relationships will ensure success in this challenging but rewarding position. This role is based in Canberra , working onsite within official premises, and requires a current NV1/NV2 security clearance . Key Responsibilities and Tasks Contract Lifecycle Management Oversee the end-to-end lifecycle of contracts, from initiation and execution through to monitoring, performance management, and closeout. Ensure all stages of the contract process are effectively managed and aligned with organisational objectives. Maintain a comprehensive register of approved suppliers, including contact details, service offerings, and performance records. Stakeholder Collaboration Collaborate with procurement teams, internal stakeholders, and external vendors to ensure the timely and accurate processing of contracts. Lead negotiations with vendors to establish terms and conditions, ensuring alignment with organisational goals. Foster strong working relationships with internal stakeholders to understand business needs and translate them into procurement strategies. Compliance and Risk Management Ensure all contracts and vendor activities comply with relevant regulatory and organisational requirements, including Section 23 . Mitigate risks by addressing contractual disputes or legal concerns with in-house counsel or external legal experts. Performance Monitoring and Reporting Continuously assess vendor performance against agreed-upon KPIs and benchmarks. Provide regular reports to management, highlighting performance trends, risks, and opportunities for improvement. Identify and implement cost-saving measures, driving efficiency and value for money. Team Leadership Lead and mentor a small team of procurement and vendor management professionals. Ensure your team delivers exceptional service and contributes to the organisation's strategic objectives. Process Improvement and Innovation Drive continuous improvement in contract management processes, ensuring efficiency and scalability. Contribute to the development and implementation of organisational policies and procedures related to supplier and contract management. Financial Oversight Monitor contractor and vendor timekeeping records, ensuring accurate and timely invoice processing. Oversee payment approvals to ensure prompt payment in accordance with contractual terms. About You – Skills and Experience We’re looking for a driven and detail-oriented professional with the following skills and qualifications: Essential Requirements Education : A tertiary degree in Business, Finance, or a related field. Experience : A minimum of 5 years of experience in contract management, procurement, or vendor relationship management. Knowledge : A strong understanding of procurement best practices, Section 23 regulatory requirements , and contract law. Technical Proficiency : Advanced skills in Microsoft Office Suite (particularly Excel and Word ) and experience with contract management software. Communication Skills : Exceptional written and verbal communication skills, with the ability to negotiate effectively and build strong relationships. Attention to Detail : A commitment to accuracy and compliance in all aspects of contract management. Security Clearance : Active NV1/NV2 clearance is mandatory, with the ability to obtain Positive Vetting (PV) clearance. Desirable Attributes Leadership : Experience managing small teams, with a focus on mentoring and performance development. Problem-Solving : Proven ability to independently identify challenges and develop creative, practical solutions. Adaptability : Comfortable working in a dynamic, fast-paced environment with changing priorities. Interpersonal Skills : Active listening, empathy, and conflict resolution skills to support seamless collaboration.
