JLL is seeking a dynamic and versatile professional to join the esteemed Property Management Team at The Bay Centre in the dual role of Property Administrator and Specialty Leasing Coordinator. In this position, you will play a crucial part in managing the property's day-to-day operations while also driving revenue through innovative specialty leasing strategies. We will rely on your strong organizational skills, excellent communication abilities, and keen eye for identifying lucrative leasing opportunities. You will work closely with the Property Manager and General Manager to optimize specialty leasing revenue, maintain tenant relations, and ensure smooth property operations. WHAT YOU’LL BE DOING: Specialty Leasing management including identifying and pursuing opportunities, managing the specialty leasing process for temporary tenants, reviewing the building leasing plans and updating as needed, and working with the General Manager to develop and implement strategies to optimize specialty leasing revenue. Assist Property Manager on tenant relations functions and monthly/quarterly reporting requirements. Assist in maintaining property-specific emergency procedures and make periodic updates to the Tenant Handbook. Contract Administration: prepare, review, and process specialty leasing agreements and centre contracts, ensure compliance with company policies and legal requirements, maintain accurate records of all specialty leasing contracts and related documents, enter all documents into VTS for approvals. Financial management: Monitor and report on specialty leasing financial performance, prepare budget forecasts and variance reports for specialty leasing activities, process invoices, and manage accounts receivable for specialty tenants. Tenant relations: Serve as the primary point of contact for specialty tenants, address tenant concerns and resolve issues promptly, ensure smooth move-in and out processes for all tenants. Prepare correspondence including but not limited to retailer memos, lease and license agreement-related correspondence, and contract-related correspondence to service providers. Update manuals as required, such as the Retailer Manual, the Waste and Recycling Guidelines, and the Tenant Criteria Manual, and provide to Tenants as needed. Marketing and Promotions: Collaborate with the marketing team to promote specialty leasing opportunities. Compliance and Reporting: ensure Tenants comply with the Rules of the centre and provide letters where there are issues. Prepare monthly tenant gross sales reports and annual reconciliation of Percentage Rent payable by tenants as specified in leases. Prepare invoices to tenants for amounts payable in a timely fashion for SL Tenants in conjunction with the Property Accountant. Prepare monthly variance analysis of Gross Retail Sales Report with commentary on significant variances (+-10%) from previous year for the Property Manager and the senior management team. Prepare all relevant tenant letters and documentation for year-end tenant recoveries. Assist the Property Manager with the annual budget planning and processing. Other job duties as reasonably assigned. WHAT YOU BRING: 2 to 3 years’ experience in a retail or commercial property, preferably in operations or tenant management; interest in a Real Estate career path. Post-secondary education preferred including financial courses. Real Estate certification preferred but not necessary such as Real Property Administrator (RPA), Certified Property Manager (CPM), or Real Estate License. Working knowledge of MS Office applications required. Knowledge of Real Estate budgeting software such as Yardi, VTS, Procore. Experience with AI technology is an asset. Good interpersonal, communication, and team skills. Aptitude for servicing tenants with the ability to see both the customer’s perspective and the impact on the organization.
