As a key member of our team, you'll oversee logistics activities, including coordinating and ordering stock for our website. You'll ensure best-selling items are always in stock, new releases are promptly ordered, and that we continually improve our existing systems and processes. Key Responsibilities: Inventory & Stock Management: Ensure stock is ordered promptly and efficiently. Oversee stock levels across platforms and maintain reliable supply chain processes. Supplier Relations: Place and coordinate supplier orders to ensure fast dispatch of high-demand products. Negotiate pricing and contract terms with suppliers and freight companies. Logistics Coordination: Efficiently book and organize domestic and international freight, ensuring cost-effective shipping methods and timely deliveries. Track shipments, ensure on-time arrivals, and follow up on any delivery delays. Cost Optimization: Audit and optimize logistics processes to reduce costs. Research and implement Free Trade Agreements to minimize customs and duties charges. Identify opportunities for cost savings by sourcing new shipping methods and freight forwarders. Pricing & Product Management: Set competitive prices for new items and restocks. Monitor freight quotes vs actual invoiced amounts and manage vendor audits to ensure competitive purchasing. Team Leadership & Communication: Lead and develop the Purchasing & Buying team. Provide training, resolve procurement and logistics issues, and maintain high communication standards across all departments. Report & Data Management: Provide weekly updates on stock availability, large quantity stocked items, and slow sellers. Present financial, purchasing, and inventory reports from Shopify and Xero to management as requested. Implement Warehouse Management System: Take charge of implementing a new warehouse management system (WMS) to streamline operations, improve inventory accuracy, and increase warehouse efficiency. Oversee the integration of barcode and scanner software into current operations to optimize tracking and management. Process Improvement: Continuously evaluate existing systems and suggest improvements that will increase operational efficiency, reduce costs, and enhance overall logistics and inventory management processes. Qualifications: Proven experience as a Purchasing Manager, Logistics Manager, or similar role in a fast-paced retail or e-commerce environment. Expertise in managing inventory, sourcing products, and coordinating logistics across domestic and international channels. Advanced knowledge of Shopify for inventory management, order processing, and reporting. Experience implementing and managing Warehouse Management Systems (WMS) and proficiency in barcode and scanner software. Strong leadership and communication skills with the ability to drive collaboration and resolve issues quickly. A deep understanding of cost optimization techniques in logistics, including negotiating with freight companies and managing supplier relationships. Experience using Xero (or similar platforms) for financial reporting. Proactive problem-solving skills with the ability to analyze data and take corrective action. Key Performance Indicators: Timely reporting and action on stock availability, slow sellers, large quantity stocked items, and new releases. Freight quotes obtained and checked against invoices; discrepancies followed up and resolved. High-selling stock is consistently available and managed proactively. Efficient communication with suppliers, management, and internal teams, ensuring smooth operations and timely actions. All new products and pricing are launched on schedule, allowing other departments (design, social media, etc.) to meet deadlines.
