Summary: The Sr. Administrative Assistant supports the smooth operation of our organization's Pathology Laboratory. This role requires a multitasker who thrives in a fast-paced environment, with excellent organizational and communication skills. This role requires a proactive approach to managing office functions, handling internal and external communications, and assisting with various projects to ensure the efficient functioning of our team and company. Responsibilities Essential Functions: Calendar and Schedule Management: Manage team calendars and appointments to ensure efficient coordination. Serve as the primary contact for internal and external scheduling. Arrange travel logistics, including flights, accommodations, and itineraries. Communication and Relationship Building: Act as the first point of contact for stakeholders, ensuring professional communication. Prepare and proofread internal and external communications (emails, reports, presentations). Maintain communication with department heads for task alignment and execution. Project Support: Assist with special projects through research, document preparation, and coordination. Track project timelines and deliverables to meet deadlines. Meeting and Administrative Support: Prepare meeting materials, take minutes, and record follow-up actions. Maintain an organized and efficient office environment. Process purchase orders and credit card receipts per company policies. Excel Data Management and Reporting: Create and manage spreadsheets for business operations and projects. Develop detailed reports, charts, and dashboards using Excel. Use formulas, pivot tables, and formatting to streamline reporting. PowerPoint Presentation Preparation: Design and format PowerPoint presentations for various audiences. Include visuals, graphs, and data visualizations to enhance presentations. Ensure presentations align with branding and communication standards. Team Support and Engagement: Provide administrative support to departments as needed. Organize team-building activities and events to promote collaboration. Compliance: Complete compliance training and adhere to all guidelines. Other Duties: Perform additional tasks as assigned. Qualifications Education: Bachelor’s degree 3-5 years related experience Knowledge, Skills & Abilities: Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), and familiarity with office management software. Strong attention to detail and ability to manage multiple tasks with competing priorities. Excellent written and verbal communication skills. Strong interpersonal skills with a professional demeanor and a customer-focused approach. Ability to maintain confidentiality and handle sensitive information with integrity. Physical Demands: Ability to communicate in an active multi-office environment. Ability to efficiently operate all job related office equipment (telephone, computer, calculator, fax, copier).
