Senior Coordinator/Administrator - Approvals, Community, Environment Country/Region: AU State: WA City: Perth Job ID: 9085 Work Location: Perth. Fortescue’s Perth office is located on the traditional lands of the Whadjuk Noongar people. Roster: Monday-Friday – 12 Month Fixed Term Contract (Maternity Cover). The Senior Coordinator Approvals, Community, and Environment plays a crucial role in providing high-level administrative support to the Group Managers of Community and Approvals and Environment and Closure. This position is key in driving the effective delivery of strategic projects and business priorities within the Approvals, Community & Environment (AC&E) division. Responsibilities include managing inboxes, diaries, and travel logistics, preparing communications and presentations, coordinating meetings, and overseeing budgets. The role also involves facilitating collaboration between AC&E teams, internal and external stakeholders, and regulatory agencies. The ideal candidate will be proactive and solution-oriented, capable of balancing administrative duties while supporting the wider team with long- and short-term project deliverables. Additionally, the Senior Coordinator will assist with financial and operational tasks such as raising purchase orders, managing invoices, onboarding vendors, and arranging logistics for site travel and events. Key Responsibilities Provide comprehensive administrative support to the Group Managers, including inbox management, diary coordination, and document preparation. Coordinate travel logistics, expense reconciliation, and ensure compliance with company policies and budgets. Maintain confidential business and personnel information, as well as document control and stakeholder records in SharePoint, PIMS, and SRM. Prepare and distribute meeting materials, including agendas, presentations, minutes, and follow-up actions. Support financial tasks such as reviewing expense reports, assisting with budget updates, and managing purchase requisitions. Coordinate quarterly and bi-annual meetings with regulatory agencies, ensuring appropriate representation and completion of presentation documents. Provide back-up support to the Executive Assistant and Department Administrator, including assisting with travel logistics, accounts payable, and employee onboarding. Ensure smooth operational processes by tracking leave requests, processing Change of Conditions, and supporting vendor management. Qualifications and Experience Over 5 years of substantial experience in senior administration, PA, or EA roles. Proven experience supporting large and diverse teams; background in the mining industry is preferred. Advanced computer literacy, with proficiency in Microsoft Outlook, PowerPoint, and Excel. Strong independent problem-solving skills and ability to handle complex tasks. Excellent interpersonal and communication skills, with a professional and approachable manner.
