Job Description About the Role: The Service Coordinator oversees service repairs, maintenance contracts, and scheduling with Service Partners. Duties include managing the ticket system, invoicing for service work, and handling warranties for the company's climate control systems. Key Responsibilities: General Functions Manage incoming service calls and emails. Coordinate with QA to ensure compliance. Follow International Ticket System procedures. Coordinate maintenance and repairs with service partners. Provide quotes for equipment breakdowns and repairs. Maintenance Contracts Respond to customer requests and ensure service faults are addressed per agreements. Analyse data and recommend operational improvements. Schedule and ensure timely completion of maintenance contracts. Liaise with service partners to ensure compliance with maintenance agreements. Maintain a database of Maintenance Contracts. Customer Service and Support Provide basic technical support via phone and email. Handle customer service inquiries and complaints. Arrange training seminars and product demonstrations with service partners. Stay updated on technical issues and service developments. Administration Generate and reconcile customer and service partner invoices. Ensure service partners have updated contracts and technical information. Maintain service partner consignment stock. Compile monthly national activity reports. Maintain accurate databases of service issues and partners. OHS and Quality Improvement Contribute to a safe working environment. Comply with company policies and procedures. Support company Quality systems and recommend process improvements. The Successful Applicant To be considered for this role, applicants must have full Australian work rights, either as citizens or permanent residents. Knowledge, Qualifications, and/or Experience Bachelor's degree or diploma in project management, contracts administration, or a technical background is preferred. Previous experience in a similar role supporting an ANZ structure. Demonstrated experience in a contractor management environment, including managing the ongoing performance of contractors. SAP experience is highly desirable. HVAC experience is highly desirable. Proficiency in Microsoft Office Suite, particularly Excel and Word. Excellent attention to detail for data entry and order processing. Skills and Competencies Strong analytic and problem-solving abilities. High level of written and oral communication skills. Proficiency in negotiation and selling skills, with the ability to build strong relationships with customers. Results/Achievement orientation, teamwork, and cooperation. Effective time management skills, including the ability to prioritise tasks. Strong interpersonal understanding and the ability to relate well to all types of people. Planning and organisational skills. Detail-oriented and customer-focused. Operations background is highly desirable. Demonstrated initiative. Ability to communicate with cross-functional departments (both national and global). Ability to work autonomously.
