Saltbush is looking for an enthusiastic Training Administrator to support our Training Services team in Darwin.Position Details Location: Darwin Employment Type: Permanent Part-time (potential for full-time opportunity in the future) Remuneration: $70k pro rata + 11.5% super + salary packaging Reports To: RTO Manager Hours: 20 hours per week (equivalent to three days), with flexibility for additional hours as needed Travel: Occasional travel to regional locations may be required About Saltbush Social Enterprises: Saltbush Social Enterprises is a not-for-profit organisation committed to creating opportunities and empowering individuals in the Northern Territory. Our mission is to support individuals, particularly from Indigenous communities, in achieving their full potential through culturally appropriate and community-driven initiatives.Primary Purpose: The Training Administrator plays a key role in supporting the Training Department at Saltbush by coordinating essential administrative functions. This position ensures the smooth operation of training programs through accurate record-keeping, efficient enrolment processes, and effective communication with students and stakeholders. Additionally, the role ensures compliance with regulatory requirements and provides high-level administrative support to facilitate the successful delivery of vocational education and training programs.Key Responsibilities General Administration Provide comprehensive administrative support to the Training Department, including handling correspondence and maintaining critical documents. Maintain accurate and up-to-date records, ensuring data integrity in all systems. Organise and prioritise tasks to meet deadlines efficiently. Handle sensitive and confidential information with professionalism and discretion. Student and Training Administration Maintain accurate records of enrolments, completions, and student progress in VETtrak (for students under the Third-Party Agreement with Karen Sheldon Training) and RTO Data Cloud (for students under Saltbush Training Services). Ensure the accuracy of the Student Progress spreadsheet to support AHC completions and funding. Manage and update Catapult (online learning system) records for both Karen Sheldon Training (KST) and Saltbush Training Services (STS). Prepare and submit quarterly AVETMISS reporting for STS and assist in preparing AVETMISS reporting for KST. Respond to prospective student queries, providing clear and timely information regarding enrolment processes and program details. Provide students and employers with progress reports as required. Maintain and organise student records on SharePoint, ensuring documents are correctly filed, archived, and easily accessible. Compliance and Quality Assurance Ensure adherence to all relevant regulatory and compliance requirements related to vocational education and training. Support the Training Manager in maintaining accurate documentation and reporting requirements for training programs. Stakeholder Engagement Liaise with internal teams, students, employers, and external training partners to facilitate smooth training operations. Provide high-quality customer service by responding promptly to enquiries from students and other stakeholders. Essential Criteria Demonstrated experience in the following areas is highly favourable for this position:Administrative Experience: Demonstrated experience providing administrative support in a professional setting, preferably within an educational or training environment. Knowledge of the Vocational Education and Training (VET) Sector: Understanding of the VET sector, including regulatory requirements, compliance obligations, and quality standards associated with training delivery. Record-Keeping and Data Management: Proficiency in maintaining accurate records and managing student data, including enrolment records, training schedules, and compliance documentation. Experience with student management systems or similar databases is highly desirable. Communication and Customer Service Skills: Strong written and verbal communication skills, with the ability to effectively engage with internal and external stakeholders. A customer-focused approach to providing support to students and staff. Organisation and Time Management: Proven ability to manage multiple tasks, prioritise workload, and meet deadlines in a fast-paced environment. Team Collaboration: Ability to work collaboratively as part of a team, supporting colleagues and contributing to the success of the Training Department. Computer Literacy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and email platforms. Familiarity with student management systems or learning management systems is an advantage. Employment Is Subject To National Police Clearance (no more than three months old) NT Working with Children (OCHRE) Card Current Driver’s Licence Highly Desirable Experience using VETtrak, RTO Data Cloud, or Catapult Learning Management System. Previous experience in a Registered Training Organisation (RTO) environment. Understanding of AVETMISS reporting processes. Knowledge of SharePoint for document management. Why Join Saltbush?
