The internal title for the role is Unit Facilities Management Specialist. Domestic relocation support provided. About this work area As Facilities Coordinator, your responsibilities will include, but are not limited to: Manage the Facilities Management (FM) services through our Integrated FM (IFM) supplier including safety, compliance, maintenance, and improvement to ensure a safe and operational environment for the business, co-workers, and our customers. Follow up quality of services delivered by both IFM and direct suppliers through close collaboration, building strong working relationships, and daily monitoring. Support internal FM related audits and annual reviews. Support FM budgeting activities and the annual business plan in the unit. Attend weekly meetings to discuss operation issues and contribute to solutions. Drive the implementation of approved best-practices and projects, aimed at lowering operational costs, and improving the reliability of assets and the efficiency of the FM services. Produce monthly financial accruals, raise purchase orders, and review supplier invoices to ensure accuracy of the services provided. Assist in controlling costs working in a cost-conscious way. Follow-up on permits, licenses, OC certificates, and reporting measures to stay compliant with local and national legislation, internal rules, and requirements regarding the FM scope within Ingka. Provide subject matter expertise and technical support in daily operations and projects related to the FM delivery model. Participate in projects within FM related services as required. Proactively contribute to the IKEA sustainability agenda through all FM related activities. Who you are As Facilities Coordinator, you are: Experienced in all aspects of FM and passionate to deliver reliable, efficient, and seamless services to the unit. Experienced with strong contract management skills and a solution-focused mindset to resolve FM related issues. Able to build strong relationships with internal and external stakeholders to achieve a common goal. Collaborative by nature, always seeking out best practices and sharing it with others. Driven to identify opportunities and make recommendations to drive continuous improvement. Capable of working autonomously, taking initiative, and possessing excellent communication skills to deliver set tasks with a sense of urgency. Equipped with a good understanding of Microsoft office programs (including Excel), FM related software, and can organize, prioritize, and manage administrative tasks efficiently.
