The Administrative Assistant, Therapy and Family Services, ensures the effective administrative component of the day-to-day operations of the team. This role is responsible for managing client records, invoicing, Cliniko administration, and general office duties while also supporting process improvements as directed by the General Manager. Main responsibilities of the role include: Implement and maintain the day-to-day administrative processes for the Therapy and Family Services fee-for-service programs. Liaise with the Accounts team for NDIS remittances, resolve billing issues, and respond to parents’ accounting enquiries. Send session cancellations alerts and set up session confirmation alerts via Cliniko in a timely manner. Maintain and update client administrative documentation for therapists and Support Planners. Maintain appropriate records, including storage and archiving of files. Ensure Cliniko and billing process documentation remains up to date. About You In your application, let us know if you have these key skills and experience: Strong administrative skills with a keen eye for detail and accuracy. Ability to manage multiple tasks efficiently and meet deadlines. Intermediate to advanced Microsoft Office skills, including Excel and Adobe. Excellent communication and interpersonal skills, with the ability to engage confidently with clients, suppliers, external stakeholders, and team members. A problem-solving mindset with the ability to adapt to new processes. A proactive and adaptable approach to work, with a willingness to contribute to process improvements and team efficiency. Ability to work autonomously while also collaborating effectively within a team. Current Working with Children Check (Blue Card) and NDIS Worker Screening. You should also let us know if you have these other great skills: Experience with Cliniko or other practice management systems. Knowledge of the Deaf community, language, and culture.
