School of Electrical Engineering and Computer Science Part-time (80%), fixed-term position for up to 12 months Base salary will be in the range $80,523.29 - $89,505.38 + 17% Superannuation (HEW Level 5) Based at our St Lucia Campus About This Opportunity We are seeking a motivated and organised Administrative Officer to support two of the Disciplines within the School of Electrical Engineering and Computer Science in the management of research and operational administration. This role also provides project support for Discipline priorities and initiatives. Key responsibilities will include: Provide school discipline leaders, staff, visitors and HDR students with high-level research and operational administrative support, including human resources, finance support, correspondence preparation, reporting and event/travel coordination. Provide administrative coordination for financial functions such as UniFi requisitions, invoice management, catering, hospitality, reconciliation of corporate cards and reimbursements. Act as secretariat for relevant School and discipline committee meetings, including scheduling, preparing and distributing relevant documentation, taking minutes and coordinating meeting logistics. Provide executive support to Discipline Leaders by managing their calendars, coordinating travel and other University commitments. Provide administrative support to projects and initiatives. Liaise with internal and external stakeholders to maintain relationships which support the operational outcomes for the school. Manage space allocation for discipline staff, visitors and HDR students in Archibus for an accurate account of space utilisation. Develop and maintain standard operating procedures and administration systems/processes to manage the day-to-day flow of business and to ensure effective and efficient functioning of the office. Undertake complex data entry, retrieval, and document management processes. Manage event coordination and financial tasks for discipline workshops, seminars and conferences. Function as the initial point of contact for enquiries, including responding to routine and non-routine queries involving interpretation of policy and procedures. Excellent interpersonal and verbal/written communication skills, including the ability to communicate effectively with people from diverse backgrounds and of varying social status. Sound problem solving skills and judgment in resolving or redirecting issues. Ability to manage and prioritise workloads, work independently or within a team and meet strict timelines with confidence. Adaptable and flexible approach to work with skills in dealing with difficult situations to meet changing needs and priorities. Well-developed organisational skills with high level attention to details and ensuring accuracy of information. Extensive experience in the use of a wide range of computer applications in a network environment, particularly Microsoft Office Suite of programs. Demonstrated capacity to effectively use University platforms such as UniFi and Expense Management System or the ability to rapidly gain such knowledge. Experience in reconciliation of credit cards, payment of invoices and the ability to interpret and abide by University policies and procedures in all areas of financial and administrative management.
