APS level 5 - Ongoing role Adelaide, Brisbane, Canberra, Melbourne or Sydney The Aged Care Quality and Safety Commission has an exciting ongoing opportunity for experienced Administration Officers that can support a busy and demanding team.The position will provide day-to-day operational administrative support of a broad range of tasks to the team including independently responding and prioritising moderately complex to complex mailbox enquiries and assessing matters that require timely escalation. The role will also prepare, review and distribute accurate and well-written draft briefings, reports and correspondence to stakeholders as required.Administration Officers will develop, implement and monitor regulatory practices, operational frameworks, policies and procedures and new guidance materials including leading key projects to improve operational workflows and processes.The successful candidate will have sound judgement, analytical skills and problem-solving skills with the ability to liaise, consult, negotiate and advise internal and external stakeholders on complex or sensitive matters.The position may be based in Adelaide, Brisbane, Canberra, Melbourne or Sydney depending on the successful candidate.ABOUT OUR TEAM The Financial and Prudential Supervision section is responsible for monitoring approved providers’ (provider) financial viability and monitoring any prudential risks identified in provider’s Annual Prudential Compliance Statement (APCS).The section monitors providers’ financial viability risk to ensure providers are managing their financial risks in a proportionate manner. The section coordinates the use of third-party resources designed to support provider restructuring and to identify and implement opportunities to improve operational efficiencies that benefit consumers. The section liaises with the Department of Health and Aged Care around referrals of providers that meet the Department’s criteria for consideration of funding support. Work independently in managing the group mailboxes, assessing, prioritising and responding to moderately complex to complex in nature enquiries, tasks and requests in alignment with Strategic objectives, whilst determining which issues require escalation to the Assistant Director/Director. Manage work priorities while displaying strong level of independence and accountability in managing work while providing technical and strategic guidance to others. Apply strong knowledge and offer subject matter expertise with the development, implementation and monitoring of regulatory practices, operational frameworks, policies and procedures and new guidance materials including enhancing workflow efficiency and effectiveness. Maintain and update team’s SharePoint page to ensure the section has access to accurate information that is easy to navigate and that is aligned with the Commission’s policies. Undertake secretariat duties including scheduling multiple meetings with Department colleagues with thorough preparation, tracking and timely provision of necessary materials and documents. Prepare, review and distribute accurate and well-written draft briefings, reports and correspondence to stakeholders as required, ensuring clarity and transparency. Build and maintain key relationships with internal and external stakeholders including liaising, consulting, negotiating and advising stakeholders on moderately complex and/or sensitive issues. Exercise discretion and maintain appropriate privacy and confidentiality in handling highly sensitive information, and ensuring all communication and documentation is managed appropriately. Under limited supervision, undertake moderately complex to complex in nature projects to improve work practices by establishing clear plans and timeframes. Provide thorough procurement support to the team, ensuring all processes and transactions are handled efficiently, accurately and to high standards. ELIGIBILITY REQUIREMENTS Key capabilities Experience in an administrative assistant, executive assistant and/or secretariat support role in a demanding and dynamic office environment. Sound judgement, analytical skills and problem-solving skills to respond to moderately complex to complex matters including escalating significant risks to Assistant Director/Director. Strong knowledge of developing, implementing and monitoring regulatory practices, operational frameworks, policies and procedures and new guidance materials. Highly developed written communication skills with the ability to prepare well-written and accurate draft briefings, reports and correspondence to stakeholders. Strong stakeholder management and interpersonal skills with the ability to liaise, consult, negotiate and advise internal and external stakeholders on moderately complex or sensitive matters. Advanced Microsoft Office suite skills including Word, Excel, Outlook and SharePoint. Strong organisational, time management and attention to detail skills, including the ability to work both independently and as part of a team to manage competing priorities in line within agreed deadlines. Project management or project coordination experience undertaking moderately complex to complex projects under limited supervision.
