Key Responsibilities and Functions Administrative Support Provide efficient and effective administrative services and support to assist in the achievement of organisational objectives and service improvement. Enhance the image of the Council to both internal and external customers. Support Team Leader and all MCH officers to enable effective time management and prioritisation of workloads. Maintain records and provide timely production of reports for Council. Provide an effective customer service and point of contact for all client and customer enquiries and receive, assess and initiate action on inquiries and requests. Manage the central booking system, Child Development Information System (CDIS), for each of the Maternal and Child Health centre’s including managing the MCH central booking line. Process birth notifications on a daily basis. Coordinate MCH Nurse and Centre calendars. Upload client test results, referrals, birthing summaries, reports, letters and consent forms and other documents from CM9 into CDIS. Assist with Maternal and Child Health reporting requirements. Review Maternal and Child Health Service and Local Playgroup brochures and update as required. Administer Enhanced Maternal and Child Health (EMCH) and Sleep and Settling (SAS) referrals, coordinate EMCH and SAS bookings, oversee the EMCH and SAS active client list, manage the EMCH nursery equipment program and fulfil EMCH and SAS requirements, including updating CDIS. Organise Maternal and Child Health meetings, Sleep and Settling catch-up, post First Time Parent Group catch-ups. Enhanced Maternal and Child Health meetings, including circulating agendas and minutes and storage of the minutes in CM9 according to titling protocols. Coordinate specialist Maternal and Child Health sessions including Sleep and Settling Groups, New Parents Groups, Circle of Security, and other programs as they arise. Update nursing legislative requirements within the workforce register including yearly AHPRA checks and other mandatory qualification checks. Update and send invitation flyers for First Time Parents Group, Circle of Security, Sleep and Settling Group and other programs as they arise. Manage and record nurse training requirements and assist with allocating mandatory training modules. Participate in ongoing and relevant education and training. Oversee Maternal and Child Health Service, Sleep and Settling, New Parents Group and Circle of Security Surveys through Survey Monkey and apply any changes as required. Record results in CM9 and report monthly at MCH Team Meeting. Report any new notifications of vulnerable children to the MCH Team Leader and Community Development MCHN for recording on the Nurses Alert List. Oversee nurse training and conference bookings and requests and update relevant documents. Manage and record CRM’s on a monthly basis, including following up progress and reporting monthly at MCH Team Meeting. Update TV Presentation monthly with current events, groups, Immunisation sessions, and other MCH/Immunisation news and communication. Prepare and complete requisitions / purchase orders or administrative finance and budget processes as required, and manage the MCH Team Leader corporate credit card. Review and update the MCH Policy and Procedure Manual, Nurses Information Folder and Administration Procedure documents. Oversee the updating, creation, review and approval of Maternal and Child Health publications, templates, consent forms and resources and update public information and information access points including at Council Service Centres, Website, Facebook and Instagram. Summarise any procedural changes to Maternal and Child Health staff and provide resources to assist with any transitions or changes. Coordinate logistics of Maternal and Child Health Service including resources and supplies, Key Age and Stage Resource packs, staffing, logging CRM Requests, overseeing Maternal and Child Health emails and calendar, managing fleet books and providing team with initial IT support. Handle confidential enquiries including redirecting from Child Protection workers. Review and update 12 Month Birthday cards as required and post to relevant clients monthly. Provide backup support with Immunisation sessions, enquiries, requirements, booking appointments and uploading data. Desired Skills and Experience Key Selection Criteria Certificate in Business Administration or relevant experience in a clerical/administration/reception role. An understanding of services provided by Council’s Maternal and Child Health, Immunisation and Well-being, Health and Culture unit. Highly developed computer skills and ability to support other Council Officers in IT systems. Excellent communication skills, and interpersonal skills including the ability to display empathy, be flexible and dependable whilst demonstrating a commitment to continuous improvement. Demonstrated aptitude to resolve problems and think critically. Prior experience in or an understanding of a clinical setting. Current Level First Aid or the ability to obtain.
