Administrations & Student Support Officer - For Learnvault - Job ID - 1338896 Learnvault is looking for Administrations & Student Support Officer . Job Description / Responsibility The Administrations & Student Support officer plays a critical role in supporting the full operations of student management, monitoring, quality assurance, and support services. The officer will coordinate with various teams to ensure a smooth student journey from admission to graduation. This position requires excellent organizational, communication, and problem-solving skills to assist students in achieving academic success while maintaining compliance with regulatory and quality assurance requirements. Responsibilities : Assist in running the full operations of student management, monitoring, and support services. Maintain accurate, complete, and timely records on the Student Management System (SMS) for all student communications and interactions. Coordinate with Administration, Admissions, Academic, Accounts, and Marketing Teams to facilitate student admissions, administration, and overall student life cycle management. Assist students in transitioning to life and study in a new environment, providing guidance on academic and non-academic matters. Provide referrals to legal, emergency, and health services when required. Monitor and report students’ academic and attendance progress, coordinating support interventions as needed. Assist in the development, modification, and review of qualifications and classes within the Student Management System (SMS) and Learning Management System (LMS). Develop and communicate accurate term plans and schedules as required. Ensure the accuracy of student attendance records and liaise with relevant teams to address any discrepancies. Assist in responding to student inquiries via email, phone, and other communication channels, ensuring timely and professional support. Support the implementation of policies and procedures related to student administration and services. Contribute to student engagement activities, fostering a supportive and inclusive learning environment. Administer periodic surveys, collecting, collating, analyzing and preparing reports and implementing agreed solutions. Coordinate, manage, and submit statutory reports as required by regulatory bodies. Ensure compliance with reporting obligations and deadlines, including liaising with relevant authorities. Assist in the preparation and submission of audit documentation and reports as required. Maintain up-to-date records and documentation to meet accreditation and compliance requirements. Support the implementation and monitoring of quality assurance processes to ensure continuous improvement in student administration and support services. Assist in identifying areas for process improvement and contribute to the development of best practices in student management, support and overall enterprise management. Conduct periodic internal reviews to ensure compliance with regulatory and quality standards. Assist in the development and implementation of quality assurance frameworks, ensuring adherence to AFC policies and procedures. Support the training of staff on quality assurance standards and administrative best practices. Educational Requirements At least a tertiary degree. Skills Required: Education Administration/ Management. Experience Requirements At least 1 year(s). The applicants should have experience in the following business area(s): Immigration and Education Consultancy Service, Immigration/Visa Processing. Additional Requirements Strong organizational and time-management skills with the ability to multitask. Excellent verbal and written communication skills in English. Excellent technology proficiency. Ability to work collaboratively with diverse teams in a remote setting. High level of attention to detail and accuracy in QA and records management. Problem-solving skills and the ability to handle student concerns effectively. Proficiency in using Student Management Systems (SMS) and Learning Management Systems (LMS). Ability to comprehend and comply with regulatory requirements and enterprise policies and procedures. Experience working with culturally diverse teams and student populations. Experience in quality assurance and compliance monitoring. Prior experience in administration and management, or customer service (preferably in an educational setting). Familiarity with compliance requirements for international student management. Attention to Detail: Ensuring accuracy in records, reports, and compliance documentation. Communication Skills: Strong verbal and written communication to effectively interact with students, staff, and regulatory bodies. Problem-Solving: Ability to assess situations and provide timely, effective solutions. Time Management: Prioritizing tasks efficiently to meet deadlines and compliance requirements. Team Collaboration: Working effectively with multiple departments to ensure seamless operations. Adaptability: Willingness to learn new systems and processes while working in a dynamic environment.
