Administrative Officer, Discipline of Marketing Apply locations: Darlington Campus Time type: Part time Posted on: Posted Yesterday Job requisition id: 0128421 Part Time / Job Share, Fixed-term role until March 2026, 2-days per week (Mon & Tue) Provide a wide range of administrative and operational support to the Discipline of Marketing HEO 5 Base Salary $86,511 - $96,863 pro-rata + 17% superannuation About the opportunity We are seeking an Administrative Officer to job share with one other officer, providing excellent administrative support to the Discipline Executive Officer (DEO) and the Head of Discipline of Marketing and be engaged members of a larger administration team of the Business School. The Administration Officers work under general supervision from the DEO and provide a wide range of administrative and operational support to the Discipline such as HR processes - including permanent and casual staff hiring, Concur and UniBuy transactions, ordering office equipment and stationery, managing meetings and minute taking, managing events of the Discipline including catering management and using calendars to manage invitations; meeting room bookings; timetabling of Units of Study; managing student appeals; assisting with exam processes including collection and distribution; responding to staff and student enquiries and other tasks. As the first point of contact for all staff, students and visitors, this role requires excellent communication, administrative and organisational skills, attention to detail, ability to foresee complexities and work out and plan for solutions in collaboration with the DEO; to plan and anticipate tasks in order to coordinate and prioritise well to complete a wide range of operational activities through the semester. The incumbent also has to have the ability to work well together in a close-knit team to ensure continuity and completion of shared tasks. This is a fixed term opportunity for maternity leave cover for 2 days per week – Monday and Tuesday. Your key responsibilities will include: Provide Discipline specific administration services and operational support Provide general day-to-day administration support to the Discipline and ensure continuous improvement of administrative processes Manage Discipline resources and staff building access Maintain Discipline website and social media Undertake ad-hoc projects and other activities About you You enjoy working as part of a team and possess excellent communication and administration skills, preferably in a tertiary environment. You use sound judgement and utilise effective and tactful verbal and written communication and possess other skills as follows: Advanced skills with Microsoft Office, Concur and UniBuy and experience with Workday, Timetabling, Canvas and Swift Digital Exercise initiative and strong problem-solving skills Ability to understand and action your tasks appropriately and in a timely manner Continuously assess and make suggestions for improvements to administrative practices and processes Ability to work well as part of a team as well as independently and develop productive relationships with other professional and academic staff in the Discipline of Marketing as well as other Disciplines in the Business School and the wider University community Excellent time and workload management skills with the ability to manage interruptions and changes to work priorities to achieve deadlines and required outcomes Experience in handling a wide range of enquiries and providing excellent customer service Ability to work well in a job-share situation, ensuring communication is clear and all tasks are performed to completion under shared responsibility Sponsorship / work rights for Australia Please note: Visa sponsorship is not available for this position.
