About the branch The Corporate Services branch plays a crucial role in enabling VGSO's overall success by providing essential support and strategic guidance to enhance operational efficiency and effectiveness. Balancing an appreciation of the complexities and nuances of the public sector, along with the requirements of operating in a competitive legal services environment, the branch delivers proactive, effective and efficient services to VGSO's internal and external clients. Functionally, the following business areas are included within the Corporate Services branch: Office of the Chief Operating Officer (Strategy and Governance) Financial Planning and Analysis Technology and Knowledge Management Client Insights and Communications About the role The VGSO is seeking a proactive, responsive and tech-savvy Applications and Data Analyst who will be responsible for the day-to-day administration of VGSO's practice management systems (Elite and Cosine). This role will sit in the Financial Planning and Analysis team and will serve as the key liaison with the Technology and Knowledge Management team in ensuring the practice management system operates effectively and efficiently on a day-to-day basis for the whole of VGSO. Reporting to the Senior Manager, Data Analytics, this role requires an individual with strong communication skills and the ability to provide high quality and responsive support, advice, training and technical expertise to all staff in relation to the day-to-day operations and administration of the practice management system (Elite and Cosine). Key responsibilities Handling day-to-day support queries in relation to the practice management system for users. Ensure a high level of data integrity within practice management systems, via maintaining systematic and logical structures/hierarchies and naming conventions, maintaining completeness and accuracy of transactional and master data, including the timely handling of data errors. Promote use of the organisation's practice management system (Elite 3e), billing system (Cosine Proforma) and matter planning system (Cosine Matter Planning), including investigating and proposing enhancements to the capability of the system to deliver improved accuracy, long-term modelling, escalation, additional drivers/calculations and balance sheet forecasting. Identify and propose continuous improvements to the organisation's practice management system (Elite 3e), billing system (Cosine Proforma) and matter planning system (Cosine Proforma) to facilitate a greater degree of automation and reliance on a strong controls framework. Working with internal and external project team members, manage or support the implementation of additional systems and applications such as automation tools. Participate in requirements gathering, selection of appropriate application, design, testing, and documentation. Proactively liaising with all colleagues to ensure that service queries are resolved effectively and efficiently. Liaising and working closely with IT in implementing any system changes or updates. Providing training and support to end-users. Update existing or prepare new system manuals as required. Responsible for maintaining and supporting the day-to-day operations of Cosine and Elite. Ensuring month-end close, as well as year-end close is actioned in a timely manner. Perform ad-hoc analysis and prepare advice for internal stakeholders (e.g. legal branches, finance and IT teams) and external stakeholders (e.g. auditors, vendors). Skills and experience Tertiary qualification in IT. Qualifications in finance would be highly regarded. 3 - 5 years business experience within a practice management system or business systems function. Track record of working in system-focused positions and on a range of different system projects, with preferably legal industry practice management systems. Experience with a variety of organisation-wide systems or practice management systems and proven system development skills will be highly regarded. Knowledge of financial processes, in particular, in relation to billing and accounts receivable would be desirable. Relevant experience in a legal or professional services environment is highly regarded. Advanced Microsoft Excel skills. Technical reporting skills using Power BI and SQL would be advantageous.
