Are you a team assistant ready for an exciting new challenge? QTC is looking for a Business Support Assistant to join us on a 12-month contract. In this role, you'll provide professional business support services across QTC's Advisory and Business Services divisions. You'll excel in delivering high-level service to stakeholders and work collaboratively with other Executive Assistants and business support team members to ensure service excellence. Key Responsibilities: Efficiently coordinate divisional meetings and forums: Schedule meetings, liaise with stakeholders, send invitations, manage room bookings, coordinate catering, prepare and issue agendas, collate and distribute meeting papers, take minutes, track deliverables, and follow up on action points. Manage travel arrangements: Book transport and accommodation, handle transfers, anticipate and manage changes, create and update itineraries, and book venues. Prepare and format high-quality information: Create letters, memos, and reports; compile data; proofread and edit content; and professionally format documents and presentations. Maintain efficient and timely records management: Handle electronic and physical filing, use QTC’s document management system, and ensure compliance with record-keeping requirements. Attend events as required: Coordinate and communicate with key stakeholders, manage logistics, and provide on-the-ground support for technology, catering, and other equipment needs. Provide strategic and operational support: Coordinate administrative activities related to divisional strategic deliverables and key dates, including Board and committee meetings, paper submission deadlines, and reporting requirements. Coordinate and process divisional expenses: Raise purchase orders, process invoices, and reconcile corporate credit cards. About you: Join our dynamic team and showcase your talents! Outstanding oral and written communication skills to effectively convey ideas and information. In-depth knowledge and experience with records management systems to maintain our data integrity. Proficiency in producing business correspondence and proofreading for grammar, spelling, and punctuation with precision. Expert minute-taking abilities to capture key meeting points. Strong skills in organising and supporting conferences and meetings. Capability to arrange travel and associated logistics seamlessly. Previous experience in a similar business support role to hit the ground running. Proven ability to liaise with a diverse range of stakeholders, including CEOs, Boards, VIPs, dignitaries, and both government and private sector organizations.
