The Department of Social Services is seeking an experienced and high-performing senior Executive Assistant (EA) to provide administrative and executive support to the Secretary. The key duties of the position include: As the first point of contact for the Secretary's Office, the EA must have excellent communication and interpersonal skills, and the ability to build and maintain relationships with Ministerial staff and other key external stakeholders. The EA reports directly to the Secretary and works closely and collaboratively with the Chief of Staff and senior executives and their support staff to ensure the efficient operation of the Secretary's Office. The EA leads the EA network within the department. The EA is responsible for managing the Secretary's diary, inbox, and daily itinerary, requiring excellent organisational skills and the ability to triage and coordinate incoming requests. The EA ensures the Secretary has the required information for meetings as per agreed timeframes and assists in the coordination of ministerial and parliamentary requests and records management. The EA must have professional written skills and the ability to prepare correspondence and other documents in line with the Secretary's expectations, departmental policies, and guidelines. The EA is also responsible for planning, booking, and reconciling travel and accommodation for the Secretary. It is critical that the EA must be discreet, trustworthy, and able to handle complex and sensitive information appropriately. The EA must be able to operate with a high degree of autonomy and consistently exercise good judgement. As the senior EA in the department, the Secretary's EA provides leadership and guidance to the Deputy Secretary EAs and EAs in the department more broadly.
