About you The ideal candidate for this role will have a high level of professionalism, exceptional stakeholder engagement, and relationship management skills. What else are we looking for: You will be self-motivated, have high attention to detail, exceptional organisational skills, and can manage multiple competing priorities. You will be a creative, collaborative team player that has a passion for events with previous experience coordinating and organising events. Minimum 3-5 years of agency experience in event project management, or equivalent experience in managing multi-level stakeholders in fast-paced environments. Demonstrated ability to plan, multitask several events at one time and deliver creative events of various sizes, scopes, and formats, from brief to execution. Excellent communication (verbal and written), presentation, and interpersonal skills, with the ability to work collaboratively and effectively with different audiences and personalities. Strong problem-solving, decision-making, and critical thinking skills, with the ability to handle pressure, ambiguity, and uncertainty. High level of attention to detail, organisation, and time management, with the ability to prioritise and manage multiple tasks and deadlines. Sound financial and budget management skills, with the ability to negotiate, analyse, and report on financial data. For the right candidate, training will be provided in the following software (should you not already be proficient in using); Monday.com, Current, HubSpot, and other event management platforms not used previously. Should be proficient in MS Office suite. Flexible and adaptable work schedule, including working early mornings, nights, and occasional weekends or possible travel interstate when and if the business needs. Areas of Responsibility Create the brief from the client and understand their goals, expectations, and vision for the event. Working with internal stakeholders on requirements for each event. Collaborating and managing relationships with various key external stakeholders, including but not limited to C-suites, corporate professionals, associations, societies, external suppliers and contractors including caterers, technical suppliers, venues. Manage Audio Visual scoping and onsite management, appointing and managing caterers and Management of events from end to end inclusive of onsite management. On-site delivery, post-event follow-up, event reporting, and analysis. Coordinate and report on the financial status of meetings and events including the development of event budgets, allocation of costs, processing of invoices and receipts and other tasks as required. Develop and present proposals that showcase the creative concept, the event plan, and the budget breakdown. Liaise and communicate with the client throughout the event planning and delivery process, providing regular updates, feedback, and solutions. Negotiate and manage contracts and agreements with vendors and suppliers, ensuring quality, value, and compliance. Create and manage the event budget, tracking expenses and revenue, and ensuring profitability and accuracy. Book, brief, and manage the internal team and event crew, ensuring that they have the necessary skills, resources, and information to deliver the event. Coordinate and oversee the event logistics, operations, and execution, ensuring that everything runs smoothly and safely. Provide on-site leadership and supervision, resolving any issues or challenges that may arise. Ensure that the event meets, ideally exceeds the client's expectations and the agency's standards of quality and creativity. Conduct post-event evaluation and analysis, collecting feedback, measuring outcomes, and identifying areas for improvement. Build and maintain strong and lasting relationships with clients, vendors, and internal teams, fostering trust and loyalty. Utilise and update the agency's software platforms, such as HubSpot, Monday, Current, and MS Teams, to manage and document the event projects. Collaborate and contribute to the agency's culture, values, and vision, and support the ongoing growth and development of the business.
