Job Description Your New Role This position is ideal for a seasoned Executive Assistant who is passionate about creativity and seeking direct experience within a major government agency. We are seeking a passionate and confident Executive Assistant to oversee the day-to-day operations and support the Chief Development Officer. Reporting to the Chief Development Officer, the successful applicant will provide high-level professional administrative and project support including: Manage the CDO’s complex schedule with regard to appointments and engagements, demonstrating sound judgement to enable prioritisation when conflicts arise. Assist the CDO with stakeholder relationship management, serving as a liaison between the CDO and internal/external stakeholders, including CEO’s office, senior executives, clients, and partners. Receive, forward and action CDO’s emails and any correspondence within the business. Facilitate effective communication and prepare executive level presentations. Keep CDO informed of emerging and potential issues internally and externally. Coordinate preparation of key documents, including briefs, reports and other communications as required. Track and support CDO in the management of key information across the Origination and delivery teams including maintaining agendas for key staff meetings. Work closely with the Group Assistants across the organisation, especially working with those within the delivery groups, to ensure coordination and efficiency in managing key activities, particularly around reporting, coordinating approvals and dissemination of information between groups. Provide a central point for delivery group assistants to identify and implement process and ways of work improvements. Desired Skills and Experience About You Certificate IV or higher qualification in Business, Administration, or relevant discipline (desirable). Thrive in a dynamic and busy work environment, and can demonstrate agility in responding to multiple competing priorities whilst balancing all core business as usual requirements. Demonstrated experience in the provision of executive support in a high-pressure and fast-paced environment. Demonstrated ability to use judgement and initiative to assess, analyse and report on critical business issues and identify, recommend, and evaluate options to improve business performance. Experience in liaising and consulting with all levels of staff on complex, confidential and sensitive matters, using tact and judgement. Demonstrated high level organisational skills including the ability to coordinate tasks, meet tight deadlines, determine priorities, take initiative and work under limited direction. Ability to build strong networks and inter-organisational relationships. Attention to detail and passionate around driving and implementing continuous improvement activities.
