We now have an exciting opportunity for a dynamic and experienced Fleet Services Officer to join our Estate team. Fulltime, fixed term position until November 2025 (parental leave cover) Based at our Cairns Nguma-bada campus $ 68,694.55- $ 72,973.30 per year Up to 17% employer superannuation contributions, leave loading and other generous employee benefits ABOUT THE ROLE As a Fleet Services Officer, you will play a pivotal role in delivering accurate and timely fleet operational services ensuring outcomes align with the University’s Service Catalogue and expectations. Key responsibilities include: Act as a first point of contact for the Estate Directorate (Cairns), responding to general reception and telephone enquiries and redirect any complex enquiries to Supervisor, Fleet. Undertake and report financial activities in relation to vehicle activities including preparing requisitions for maintenance expenditure, journals and invoices, maintenance of expenditure records, internal charges and payments to contractors and suppliers. Assist in maintaining the fleet management system (AusFleet) including booking management, work order administration, vehicle fuel usage, odometer readings and administering monthly fuel statements. Provide oversight of Cairns vehicle maintenance activities including cleaning, on site and off site repairs and undertake regular serviceability of Cairns vehicles and their CES. Administer and provide vehicle booking services for all University fleet vehicles internally and externally. Assist in processing vehicle accident claims and traffic infringement notifications. Order and maintain office stationery and equipment, organize office routine repairs, source quotations and enter requisitions for purchases, process invoices, internal charges and journals, organise freight delivery. QUALIFICATIONS, SKILLS AND EXPERIENCE Certificate or Diploma level qualifications with relevant experience. Experience in fleet and finance administration with knowledge of booking systems, vehicle maintenance and servicing requirements. Effective customer service skills with experience in a high-volume environment managing high numbers of inquiries via phone and email. Demonstrated ability to carry out routine tasks autonomously and work effectively as part of a team to achieve outcomes. Routine organisational and time management skills with ability to use informed judgement to prioritise and meet competing deadlines. Effective written and interpersonal communication skills in dealing with people from a variety of backgrounds with attention to detail. Proficiency in relevant Microsoft and other computerised systems and/or databases. Special Conditions Travel between campuses may be required from time to time. This position may be required to participate in operational activity outside of the recognised normal span of hours.
