Governance Information & Administration Officer Posted: 24/01/2025 Closing Date: 07/02/2025 Job Type: Permanent - Full Time Location: Newcastle West Job Category: Administration & Office Support The Opportunity The Diocese of Maitland-Newcastle is seeking a detail-oriented and proactive Governance Information & Administration Officer to support our Governance Team in delivering organised, reliable assistance to our Diocesan partners. In this role, you’ll manage workflows, allocate workloads, and ensure accurate and timely responses to information requests, warrants, and subpoenas. As a valued member of the Governance Team, you’ll review, collate, and redact documents prepared by internal clients as needed and produce the required documentation for submission to requestors, regulators, courts, or tribunals. You’ll also support various team projects and facilitate reporting systems to maintain smooth operations. In addition, your day-to-day responsibilities will include service request management, diary coordination, meeting organisation, and providing paralegal support to the team. The purpose of this position is to assist the Governance Team to support Diocesan partners by coordinating and administering the work of the Governance team. Work includes supporting workflows and workload allocation, supporting response to information requests, warrants and subpoenas in a timely and efficient manner, and supporting working groups and projects led by the team and facilitating reporting from systems. The position plays an important role in leading the management of workflow, time management and reporting systems in collaboration with the Governance Team. The Governance Information & Administration Officer supports team activities with the aim to ensure that workload and information is being managed in the most effective and efficient manner to benefit all stakeholders. The incumbent commits to working within Work Health and Safety guidelines and Code of Conduct at all times whilst in the employ of the Catholic Diocese of Maitland-Newcastle. Desired Skills and Experience EXPERIENCE/CRITERIA Extensive experience working as an executive assistant, legal secretary/paralegal or legal administrative assistant, supporting the provision of services in a fast-paced and high-volume environment. Demonstrated ability to develop and positively communicate and engage with internal and external stakeholders. Highly developed administrative and organisational skills with a sound ability to organise, prioritise and multitask a substantial workload in order to execute work accurately, meet deadlines, manage competing demands, and respond to changing circumstances. Demonstrated experience in developing and implementing information management strategies, preparing reports/documentation and providing high level administrative support to support the delivery of services across a wide range of stakeholders. An understanding and the ability to maintain a high level of confidentiality and integrity. Self-motivated with the ability to work autonomously and be responsible and accountable for own work with the capacity and willingness to work in a team environment. A high level of competency and ability to utilise various databases Microsoft Word, Outlook, PowerPoint, Excel and SharePoint. QUALIFICATIONS TAFE Qualifications in Information Management or TAFE qualifications in Legal Administration or equivalent and/or 2-5 years’ experience providing high level administrative or legal support.
