A bit about the role We're looking for an Information Management and Archive Officer to join our team on a full-time, limited tenure basis until August 2026 (with a monthly RDO!). In this role, you'll manage the appraisal, sentencing, and disposal of digital and hard copy records, oversee the transfer of permanent records to Public Record Office Victoria (PROV), and support best-practice information management across Council. What you’ll deliver Implement and maintain processes in accordance with the Public Records Act (Vic) 1973 and standards issued by PROV. Establish and maintain processes to ensure hard copy and legacy records are digitised and registered into the Enterprise Content Management (ECM) system in accordance with Council’s Digitisation Plan. Process requests from off-site storage using Council and vendor service request systems. Employ sophisticated search methods within the ECM system to efficiently locate and retrieve documents. Utilise search filters, metadata, and indexing to streamline the identification process. Take a lead role in the discovery of documents for Freedom of Information Requests and legal purposes as required e.g. for subpoenas or Royal Commissions. Apply best practice in archives management by appraising, sentencing and disposing of records according to Public Record Office Victoria (PROV) Retention and Disposal Authorities and Council procedures to determine disposal classes, status, retention periods and disposal actions. What you’ll bring Demonstrated understanding of Records and Information Management, including Public Records Office of Victoria (PROV) Standards. Understanding of Information Management systems for the inventory control of records. Experience and understanding of current information management practices and relevant legislation for records and electronic document management. Significant working knowledge of an electronic document and records management system preferably Technology One ECM. Willingness to undergo pre-employment background checks including National Criminal History Check, Working with Children Check and Eligibility to Work check.
