Short Summary Reporting to the Executive Officer, this position plays a pivotal role in providing a high-quality office experience to our Melbourne office located in the CBD and providing support to our organisational leadership team and other offices across Australia. This role will require you to work onsite most days . Most of all, a supportive, inclusive, and diverse company. What about the role: Serving visitors by greeting, welcoming, directing, and announcing them appropriately. Answering, screening, and forwarding any incoming calls whilst providing basic information when needed. Manage the issuing and cancellation of security passes. Receiving and sorting daily mail/deliveries and organise courier services as required. Travel booking (domestic & international). Order office supplies (including kitchen and refreshment supplies), making sure to anticipate office needs in advance. Ensure that the office is clean and a safe working environment, including keeping kitchens to a high standard and stocked regularly. Provide leadership and day-to-day management to the Office Coordinator. Day-to-day calendar management for Executive Leadership (if required) diary and meeting scheduling. Manage the energy and waste management service contract and processes. Manage all facility requests, including liaising with building management regarding property issues and ensuring effective operation of equipment. Participate on WHS Committee to ensure offices comply with WHS standards. Provide support to leadership and other offices as required. What experience do I need: High standard in written and oral communication skills, with attention to detail and effective relaying of messages or instructions. Demonstrated interpersonal skills with an ability to build effective relationships with co-workers and clients. Comfortable working autonomously across multiple tasks with proven effective and efficient organisational skills. Proficient to advanced use of Microsoft Office Suite, particularly Microsoft Word for the preparation of company reports and documentation. Qualifications in administration or business are highly desirable.
