The Company: This sensational National Association prides itself on providing their members with the most up-to-date industry information, a robust events program, and a voice to shape their industry. Their diverse events program features a range of events to support, educate and uplift their members. They are looking for a WA Event Coordinator to join their team on a part-time basis. Position Terms: Part-Time Permanent Role (3 days a week) Working in the office 3 days a week Salary: $70,000 - $80,000 plus super pro rata for 3 days a week The Role: The Event Coordinator will be responsible for the end-to-end coordination and delivery of WA-based events for the Association, including forums, roundtables, and networking events. Key Responsibilities include: Set up events in iMIS, ensuring accuracy in registration details and event listings. Draft promotional schedules and coordinate event marketing in collaboration with the communications team. Oversee attendee registrations, including confirmations, follow-ups, and database management. Prepare event collateral such as PowerPoint presentations, attendee lists, and name badges. Liaise with venues, speakers, sponsors, and key stakeholders to ensure smooth event execution. Coordinate on-site events for a seamless guest experience and professional delivery. Conduct financial reconciliation, ensuring invoices are processed correctly and budgets are maintained. Prepare post-event reports, including profit/loss analysis and event performance insights. Manage post-event administrative tasks, including iMIS event closure, thank-you letters, and attendee follow-ups. Support social media efforts, including drafting posts and scheduling promotional content. Maintain and update event pages and CRM records to ensure accurate data management. Provide administrative support to the WA General Manager, including managing inboxes and responding to event-related enquiries. The Candidate: The ideal candidate will have strong event coordination, logistics and project management experience, ideally within a membership association. Exceptional communication and interpersonal skills is essential for this role. Minimum Qualifications: Proven experience in event coordination, logistics, and/or project management. Strong organisational and time management skills, with the ability to manage multiple priorities. Excellent communication and interpersonal skills, with a focus on stakeholder engagement. Proficiency in CRM systems (iMIS preferred) and marketing tools. Experience with financial administration, including budgeting and invoicing. Strong attention to detail and problem-solving skills. Ability to work both independently and collaboratively in a fast-paced environment.
